Job Requirements

  • Proven ability to manage multiple projects with accuracy and keen attention to detail
  • Strong interpersonal skills and professional communication both written and oral
  • Proficiency in Mac and/or PC platforms with advanced skills in Word Excel Outlook and PowerPoint including mail merge capabilities
  • Ability to work independently anticipate needs and prioritize tasks efficiently
  • Flexibility to adapt to varying schedules including early mornings evenings weekends and in-person event days
  • Bachelor's degree or equivalent experience
  • Prior experience with event management and familiarity with platforms such as Eventbrite HubSpot or WordPress is highly desirable
  • Experience with web conferencing tools like Zoom or WebEx is a plus

Job Duties

  • Coordinate logistical details for a variety of high-profile events including managing venue arrangements catering decor and other event services
  • Provide in-person support during events assisting with registration setup teardown and guest management
  • Draft and disseminate detailed communication materials to speakers participants and staff to ensure smooth event execution
  • Facilitate travel arrangements reimbursements and accommodations for VIP guests and speakers
  • Conduct financial reviews prepare expense reports and analyze event budgets post-event
  • Support billing invoicing and collection processes as needed
  • Assist with other administrative tasks related to event planning finance and project coordination
