Job Requirements
- Proven ability to manage multiple projects with accuracy and keen attention to detail
- Strong interpersonal skills and professional communication both written and oral
- Proficiency in Mac and/or PC platforms with advanced skills in Word Excel Outlook and PowerPoint including mail merge capabilities
- Ability to work independently anticipate needs and prioritize tasks efficiently
- Flexibility to adapt to varying schedules including early mornings evenings weekends and in-person event days
- Bachelor's degree or equivalent experience
- Prior experience with event management and familiarity with platforms such as Eventbrite HubSpot or WordPress is highly desirable
- Experience with web conferencing tools like Zoom or WebEx is a plus

Job Duties
- Coordinate logistical details for a variety of high-profile events including managing venue arrangements catering decor and other event services
- Provide in-person support during events assisting with registration setup teardown and guest management
- Draft and disseminate detailed communication materials to speakers participants and staff to ensure smooth event execution
- Facilitate travel arrangements reimbursements and accommodations for VIP guests and speakers
- Conduct financial reviews prepare expense reports and analyze event budgets post-event
- Support billing invoicing and collection processes as needed
- Assist with other administrative tasks related to event planning finance and project coordination
