The University of Kansas Housing & Residence Life is seeking a dedicated and organized Conference Coordinator (CC) for a paid summer position within its Camps and Conferences program. Job Requirements

  • Valid driver’s license – applicants will not be penalized for not having a driver’s license
  • Due to the nature of work and the locations of summer operations, a valid driver’s license can be beneficial

Job Qualifications

  • High school diploma or G.E.D. equivalency or current enrollment in a post-secondary institution
  • Work experience including customer service and administrative duties, as evidenced in application materials
  • Experience interacting with students, customers and/or the public, as evidenced in application materials
  • Strong communication skills, as evidenced by application materials
  • Bachelor’s degree
  • Residence Life staff experience, as evidenced in application materials
  • Experience with Microsoft Office products, as evidenced in application materials
  • Supervisory experience, as evidenced in application materials
  • Experience managing work tasks in a fast-paced environment with rapidly changing priorities, as evidenced in application materials and cover letter
  • Experience with emergency/crisis response, as evidenced in application materials

Job Duties

  • Serve as the primary point of contact for designated conference groups prior to and during their campus visits, coordinating logistics and collaborating with others
  • Work with conference groups by assessing needs and staffing appropriately, including adding staff to the schedule and sharing meeting locations/times in a timely manner
  • Assist with daytime, evening, and weekend check-ins and check-outs and provide strong customer service
  • Monitor and respond to emails in the Camps and Conferences Departmental account
  • Coordinate and manage information and communication with groups and campus stakeholders
  • Provide oversight and support staff efforts in the management of linens and access on camp cards
  • Perform administrative tasks related to issuing keys, scheduling room reservations, and transitioning desks
  • Maintain accurate and complete records of assigned conference groups
  • Assist accounting specialists with collecting necessary information for billing purposes, including completing post camp forms and accurate onsite payment collection
  • Participate, engage, and contribute within trainings, meetings with supervisors, ongoing departmental communication, and regularly scheduled summer operations meetings
  • Understand and follow all relevant compliance rules and regulations (FERPA, CI, NCAA, Clear, Minors on Campus, etc.) and maintain privacy with respect to students, staff, and guest information
  • Supervise Lead Conference Assistants and Conference Assistants
  • Oversee and support student staff assigned to room, bathroom, and common area cleaning and furniture resetting during summer transitions
  • Partner with Desk Operations and Summer Desk Receptionists in training and logistics to support summer operations
  • Assist Conference Staff, Desk Operations, and Residence Life team in the management of conferences
  • Assist in the development, execution, and assessment of a comprehensive summer staff training program
  • Train summer staff on necessary processes and prepare them for each arriving group
  • Lead summer staff meetings and prepare adequately to share information and prepare all staff for upcoming groups, events, and other summer related operations
  • Communicate effectively with stakeholders (dining, housing staff, camp leads)
  • Assist staff when needed in preparing for camps or in absences
  • Ensure conference-related materials and any special requests made by Camp and Conference groups are delivered, arranged, and ready prior to group arrivals
  • Assist with and be present for check-ins and check-outs of conference groups
  • Serve on a CC on-call rotation responding to campus wide crisis and camp and conference needs
  • Be familiar with and enforce policies and procedures of the University of Kansas and Housing and Residence Life
  • Document incidents occurring during working hours and submit incident reports through the designated online incident reporting system
  • Communicate with other Housing & Residence Life staff members when appropriate and/or in accordance with reporting structure
  • Serve as a mandatory reporter under Title IX and a Campus Security Authority (CSA) under the Cleary Act
  • Ensure a welcoming and approachable response to all students, staff, and guests
  • Maintain a welcoming and approachable reception area for the community and during check-in and check outs
  • Greet residents, staff members, and other guests, answer the phone, and assist with questions and concerns
  • Perform other related duties as assigned
  • Support readiness operations between guest stays, inclusive of cleaning, trash removal, and resetting room and common space furniture
  • Assist with cleaning and disinfecting rooms, bathrooms, and common areas between groups to prepare for arrivals
  • Assist with adjusting the height and configuration of beds for camp and conference groups and in transition periods between summer and the academic year
  • Ability to move items up to 25 pounds and sit/stand for extended periods of time
