Job Requirements
- High school diploma
- 1-2 years of experience in event planning, coordination, or hospitality preferred
- Ability to work a flexible schedule including nights, weekends, and holidays
- Proficient in Microsoft Office Suite
- Strong verbal and written communication skills
- Ability to manage multiple projects with attention to detail
- Service-oriented attitude and teamwork skills
- Ability to maintain professional appearance
- Ability to lift and move up to 50 lbs
- Frequent verbal communication and active listening
- Primarily indoor work with occasional outdoor assignments

Job Qualifications
- High school diploma required
- Bachelor’s degree in Hospitality, Business Administration, or related field preferred
- Preferred 1-2 years in event planning, event coordination, or hospitality (club, hotel, or member-based organization preferred)
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Canva preferred
- Strong verbal and written communication skills
- Ability to work across multiple departments
- Ability to manage multiple projects and priorities with strong attention to detail
- Service-oriented mindset with ability to collaborate effectively
- Maintain a polished, professional appearance and demeanor at all times
Job Duties
- Assist with the full lifecycle of events from concept to completion
- Design creative setups and event experiences that enhance member engagement
- Partner with internal departments to align event execution with club standards
- Source vendors, negotiate pricing, and manage procurement of event supplies
- Oversee logistics for operations, decor, flowers, linens, entertainment, and other event elements
- Coordinate audiovisual, technical requirements, and venue setup for smooth operations
- Prepare and maintain Banquet Event Orders (BEOs), menus, guest counts, and floor plans
- Communicate event details across departments to ensure alignment
- Confirm menus in advance and track dietary/allergy accommodations
- Create event collateral including menus, place cards, signage, and name tags
- Manage event registration, member check-in, setup, breakdown, and post-event charge reconciliation
- Act as the point of contact for staff, members, and vendors during events
- Collaborate with department heads to resolve issues proactively and maintain a seamless guest experience
- Attend weekly BEO meetings to review upcoming events
- Confirm menus prior to promotions and event openings
- Partner closely with Operations and Food & Beverage to anticipate needs and align resources
- Maintain a professional appearance and dress appropriately for an upscale athletic and social club
- Promote goodwill and positive energy throughout the membership and staff
- Highly visible to interact with members and guests
