Job Requirements
- Bachelor's degree in business, meeting planning, or related field
- Minimum 3 years' experience in meeting planning
- Preferred experience supporting executive leadership
- Preferred experience collaborating with franchisees and cross-functional teams
- Strong written and verbal communication skills
- Excellent attention to detail and organizational abilities
- Proficiency in Microsoft Office suite
- Ability to negotiate contracts effectively
- Ability to manage multiple projects under tight deadlines
- Ability to work onsite at the Canton, MA Support Center
- Availability to travel up to 15%
- Self-starter with strong interpersonal skills
- Ability to think strategically and lead with confidence
- Willingness to perform ad hoc tasks as needed
Job Qualifications
- Bachelor's degree in Business, Meeting Planning, or related discipline
- Minimum of 3 years' meeting planning experience
- Preferred experience supporting executive team members
- Preferred experience working directly with franchisees and cross-functional teams
- Strong communication skills
- Exceptional attention to detail and organizational skills
- Proficiency in Microsoft Office including Excel, PowerPoint, and Outlook
- Ability to negotiate contracts
- Ability to manage multiple tasks and priorities
- Experience in a fast-paced environment
- Ability to build collaborative relationships with senior leadership, franchisees, and external partners
- Strong project management skills
Job Duties
- Lead meeting planning activities for Dunkin' Operations team
- Plan franchisee leadership meetings, regional all-team meetings, team dinners, and high-profile leadership events
- Act as subject matter expert for meeting planning including contract negotiation, logistics, room sets, audio visual, and budgeting
- Provide consultative advice and cost saving recommendations to meeting hosts
- Source and recommend meeting venues based on location, size, and budget
- Negotiate hotel, audio visual, event venue, and restaurant contracts
- Act as liaison between meeting hosts and venues ensuring detailed coordination
- Maintain reservation links, room blocks, and attendee lists
- Create and maintain internal and external distribution lists for Operations team
- Lead onboarding process for new hires
- Reconcile monthly Operations meeting expenses
- Serve as point of contact for general support and travel issues
- Assist Learning Department with special events
- Process franchisee reimbursements
- Support regional communication by managing zoom calls, surveys, and email communications
- Provide executive support for COO including travel arrangements, calendar management, and expense reconciliation
- Supervise Operating Services Specialist providing coaching, feedback, and performance reviews
- Approve IT requests, timesheets, and PTO requests
