Job Requirements

  • Minimum 4 year bachelor’s degree in business, meeting planning or related discipline
  • Must have a minimum of 3 years’ meeting planning experience
  • Preferred experience supporting and working closely with executive team members
  • Preferred experience and successful track record working directly with franchisees and partnering cross-functionally within a complex organization
  • Self-starter with strong communication skills
  • Exceptional attention to detail, organization, project management and customer service skills
  • Proactive and innovative thinker and communicator
  • Positive attitude and willingness to jump in as a team player
  • Ability to consult, influence and coach franchisees and partners
  • Ability to multitask while managing established timelines and budgets
  • Strong technical skills in Microsoft Office products
  • Ability to embrace change, adjust priorities often, and deliver time-sensitive results
  • Ability to skillfully negotiate contracts
  • Ability to build rapport quickly with all levels of management including senior leadership and external partners

Job Qualifications

  • Bachelor’s degree in Business, Meeting Planning, or related discipline
  • Minimum 3 years of meeting planning experience
  • Preferred experience supporting executive team members
  • Preferred experience working directly with franchisees and cross-functional teams
  • Strong communication skills
  • Exceptional organization and project management capabilities
  • Ability to multitask and manage deadlines
  • Proficient with Microsoft Office, including Excel, PowerPoint, and Outlook
  • Skillful contract negotiation abilities
  • Ability to build collaborative relationships with senior leadership, franchisees, and external partners
  • Positive attitude and team-oriented mindset

Job Duties

  • Lead meeting planning activities for Dunkin’ Operations team including planning franchisee leadership meetings, regional all-team meetings, and high-profile events such as Brand Advisory Council meetings and Annual Franchisee Awards dinner
  • Act as subject matter expert for all meeting planning aspects including contract negotiation, logistics, room sets, audio visual, and budgeting
  • Provide consultative advice and cost-saving recommendations on meeting logistics
  • Source and review potential meeting venues based on size, location, and objectives within budget
  • Negotiate contracts for hotels, audio visual, offsite venues, and restaurants to achieve cost savings
  • Prepare meeting announcements and coordinate logistics with travel agencies, internal teams, and franchisees
  • Maintain detailed reservation links, room blocks, and attendee lists ensuring accommodations meet requirements including dietary needs
  • Create and maintain internal and external distribution lists organized by Business Consultants and Directors
  • Manage onboarding process for new hires on the Operations team through multiple system tasks
  • Reconcile monthly Operations meeting expenses, track receipts, and allocate costs appropriately
  • Serve as first point of contact for general support questions including travel, expense, and venue recommendations
  • Assist Learning Department with special meetings and events
  • Process franchisee reimbursements
  • Support regional communication requests including setting up webinars, surveys, and targeted emails
  • Provide executive support to Dunkin’ COO including managing travel arrangements, calendar requests, and expense reconciliation
  • Supervise Operations Services Specialist, providing coaching, feedback, and performance reviews
  • Approve IT requests, weekly timesheets, and PTO requests
