Job Duties
- Lead meeting planning activities for Dunkin operations team
- plan franchisee leadership meetings, subcommittee meetings, regional all-team meetings, team dinners and high-profile leadership meetings including Brand Advisory Council and Annual Franchisee Awards Dinner
- act as SME for all aspects of meeting planning including contract negotiation, logistics, room sets, audio visual and budgeting
- proactively discuss meeting logistics with meeting hosts, provide consultative advice and cost saving recommendations
- source potential meeting venues considering location, size and budget
- review options with meeting hosts and prepare venue comparison and cost projections
- negotiate contracts for hotels, audio visual, event venues and restaurants
- prepare meeting announcements for travel agency, internal teams and franchise attendees
- act as liaison between meeting hosts and venues detailing audio visual, room setup and food and beverage needs
- maintain reservation links, room blocks and attendee rooming lists
- create, update and maintain internal and external distribution lists for the operations team
- maintain subcommittee information sheets
- lead new hire onboarding for business consultants and directors
- reconcile monthly meeting expenses and complete expense reports
- act as first point of contact for operational questions
- assist Learning Department with Manager Elite Council meetings and brand initiatives
- process franchisee reimbursements
- assist with regional communication requests by setting up zoom calls, webinars, surveys and email communications
- support COO travel arrangements, liaise with travel agency and reconcile COO expenses
- manage calendar and call requests for COO
- support ad hoc COO engagements
- supervise Operations Services Specialist, provide counseling, feedback and coaching
- prepare and deliver annual performance reviews
- approve IT requests, timesheets and PTO requests
