Job Requirements

  • Four-year degree from a college or university
  • five years of experience in same or similar position in theaters preferred
  • ability to work flexible and sometimes demanding schedules including nights, weekends, holidays and extended hours
  • experience with Microsoft Office products, CAD and Ticketmaster ticketing software preferred
  • familiarity working in a union environment to include work with IATSE, Carpenters & IBEW
  • working knowledge of PA, lighting and rigging systems typically found in a theatre
  • experience coordinating facility services with Broadway shows, Performing Arts organizations and concerts
  • ability to work independently, exercising judgment and initiative and minimal supervision
  • maintain an effective working relationship with employees and others encountered through the course of employment
  • work effectively under pressure and/or stringent schedule and produce accurate results in a fast-paced environment
  • organize and prioritize work to meet deadlines
  • remain flexible and adjust to situations as they occur
  • follow oral and written instructions and communicate effectively with others in both oral and written form
  • operate standard office equipment and personal computer(s) using MS Excel, MS Outlook, MS Word, time and attendance/payroll software

Job Duties

  • Communicates all event information to the appropriate departments and staff
  • advance each show/event with appropriate show/promoter representative in a timely fashion
  • coordinates all vendors needed for each engagement including sound/lighting, catering, labor, decorating and other services
  • develop, implement, and manage event budgets with facility sales staff and other appropriate show/promoter representatives
  • assist the booking department to conduct client meetings, tours and prepare and manage event budgets as well as develop sales proposals
  • develop accurate event set-up needs and ensures that event set-ups are accurate
  • communicates in a timely manner with each department head regarding specific needs and information for each event
  • prepares and distributes event data sheet to all staff and departments in a timely manner
  • prepares post event report for all events coordinated
  • work with promoters and agents to coordinate facilitate client needs for each event and provide cost estimates as required/requested
  • preparation of and submission of expenses for event settlement
  • attend settlement as required
  • assists the assistant general manager in the overall daily operation and maintenance of the Stifel Theatre
  • plan, direct, coordinate, and review the work plan for theatre services and operations
  • coordinate the transition of the theatre and ancillary spaces between events
  • initiate and coordinate repair and maintenance projects at the facility
  • operate and maintain facility systems including audio, lighting, rigging, HVAC, and other systems throughout the facility
  • supervise and coordinate janitorial services with the janitorial contractor and ensure that the highest level of service is being provided
  • prepare and seek bids for contracted services at Stifel Theatre
  • responsible for maintaining and updating emergency response and fire safety plans
  • meet with staff to identify and resolve problems
  • assign work activities, projects, and programs
  • monitor workflow
  • review and evaluate work products, methods, and procedures
  • inventory, inspect, order and maintain theatre equipment and supplies
  • observe and report facility repairs and maintenance, make repairs as necessary and ensure the facility is in good working order for events
  • carry out supervisory responsibilities including interviewing, hiring, training employees
  • participate in the development and administration of the operations department budget
  • ensure facility rules, regulation policies and procedures are enforced
  • maintain safe, secure, and sanitary working conditions
  • represents operations department in absence of AGM
  • serves as manager on duty as required
  • other duties as assigned
