Job Requirements
- 6-8 years of experience in event planning and hospitality
- prior experience in luxury or high-end hospitality settings
- excellent organizational and multitasking skills
- strong communication and interpersonal skills
- ability to lead teams and manage client relationships
- proficiency in Microsoft Office applications
- familiarity with CRM and GMS systems
- willingness to work a hybrid schedule with three days in office
- must be able to travel domestically up to 45% of the time
- physical ability to lift 50 lbs and stand for 8+ hours
- ability to work on weekends and holidays as needed
- problem-solving orientation with proactive mindset
- must be self-motivated and highly adaptable
- willingness to engage with fast-paced and sometimes last-minute client requests
Job Qualifications
- 6-8 years of experience in related events field
- previous hospitality experience preferred
- strong client account management skills
- excellent interpersonal skills including written and verbal communication
- proficient with Microsoft Office suite especially Excel, PowerPoint, and Word
- experienced in using CRM systems for registration and guest communications
- ability to lead projects and collaborate cross-functionally
- self-starter who can manage multiple projects simultaneously under tight deadlines
- ability to handle high-pressure environments
- experience in financial management of invoices and budgets
- flexibility and willingness to travel domestically
- ability to lift up to 50 lbs and stand for extended periods
- a passion for sports, travel, entertainment, music, and lifestyle culture
- proficiency in a second language is a plus
Job Duties
- Plan and execute C-suite level hospitality programs with unique content and best-in-class delivery
- Manage senior client stakeholder relationships and coordinate with rights holders
- Organize detailed hospitality packages including tickets, decor, talent appearances, accommodations, transportation, food and beverage, production elements, and cultural experiences
- Develop event schedules, logistics, health and safety protocols, creative production elements, and briefing documentation
- Manage guest communications and tracking using online GMS/CRM tools including invitation development and travel booking
- Source, procure, and contract third-party suppliers and vendors
- Oversee financial account management including budget creation, tracking, and reconciliation
- Deliver pre- and post-event reporting
- Provide on-site management and hosting for C-suite level guests
- Lead and manage direct reports if assigned
- Lead client relationships with day-to-day account and project management
- Coordinate internal teams and manage junior account staff
- Forecast potential challenges and provide proactive solutions
- Collaborate with global account teams to ensure consistency and efficiency across regions
