Job Requirements

  • A minimum of seven years’ event planning experience including global events
  • Willingness to travel domestically and internationally for site visits and event management
  • Ability to work evenings, weekends, and extended hours as needed
  • Strong time management and organizational skills
  • Experience with virtual and hybrid events and platforms
  • Bachelor's Degree
  • Proficiency with Excel and PowerPoint
  • Ability to manage multiple projects and vendor negotiations
  • Excellent communication and interpersonal skills
  • Positive, proactive attitude
  • Ability to work collaboratively in a team and independently

Job Qualifications

  • Bachelor's Degree
  • Minimum seven years of event planning experience including global event planning
  • Strong production experience for large events with high level of time management and organization skills
  • Experience with virtual and hybrid event platforms such as Cvent
  • Demonstrated ability to manage multiple projects and interface with C-level executives
  • Proficiency in Excel and PowerPoint
  • Supervisory experience is a plus
  • Strong presentation, negotiation, and interpersonal skills
  • Creativity in event strategy
  • Ability to work both independently and in team environments
  • Excellent communication skills and professionalism under pressure

Job Duties

  • Lead complex meetings, conferences, and events with budgets ranging from thousands to millions of dollars
  • Lead planning of individual meetings and events, establishing vision and overseeing ideation, planning, and execution in partnership with internal stakeholders
  • Identify, research, and secure meeting venues, conduct site inspections, and negotiate contracts for hotels and special event spaces
  • Develop and manage event budgets, track expenses, process vendor invoices and wire transfers, and conduct post-event budget reconciliation
  • Manage event workflow including venue management, contracting, event timelines, attendee communications, registration, hotel room blocks, list management, transportation, food and beverage, decor, function space allocation, speaker and sponsor coordination, AV and production, design collateral, mobile apps, off-site activities, branded items, shipping, briefing books, and on-site setup and supervision
  • Establish and cultivate strong relationships with hotels, restaurants, and other third party providers
  • Support department head in optimizing event planning processes, standardizing budget tracking, leveraging event technology, analyzing success, and improving attendee experience
