Job Requirements

  • ba/bs degree required or equivalent experience in hospitality management or event planning
  • 5+ years of incentive/meeting industry experience
  • ability and desire to service customers and stakeholders using keen listening, probing, acknowledging and informing skills
  • excellent written and verbal communication skills
  • ability to multitask while maintaining attention to detail, accuracy and poise under pressure
  • demonstrate organizational skills
  • accountable for managing and implementing budgets
  • travel will be required approximately 25% of the time
  • advanced computer skills including windows, ms access, word, excel, powerpoint, cvent, outlook

Job Qualifications

Job Duties

  • plan and execute cost effective and valuable meetings and events that meet business needs
  • collaborate and communicate with stakeholders and customers including corporate management and distributors
  • manage program budgets and provide timely reporting
  • assist travel & events manager and sponsorship manager on programs
  • manage design, development, and execution of internal corporate and sponsorship events
  • manage all program elements including registration, hotel planning, transportation, and audio/visual production
  • analyze event results and implement program changes
  • manage stakeholder relationships and expectations
  • develop and manage key supplier partnerships
  • evaluate and negotiate contracts with suppliers
  • serve as liaison with hotels, convention bureaus, airlines, and service providers
  • assume leadership roles on special projects as assigned
  • coordinate event logistics including food and beverage, supplies, equipment, décor, and seating arrangements
  • prepare event materials including nametags, packages, and gift bags
  • manage event clean-up and close out
  • prepare and manage budgets and provide progress reports
  • keep track of event finances including invoicing and check requests
  • coordinate event scheduling
  • document activities for internal and external communications
