Job Requirements

  • Bachelor's degree or equivalent experience in Hospitality Management or Event Planning
  • minimum five years experience in incentive or meeting industry, preferably corporate
  • excellent communication skills, both written and verbal
  • strong multitasking and organizational abilities
  • ability to maintain attention to detail and poise under pressure
  • accountable for budget management and implementation
  • proficiency in computer applications including Windows, MS Access, Word, Excel, PowerPoint, CVENT, Outlook
  • willingness and ability to travel approximately 25 percent of the time
  • ability to sustain prolonged seated posture
  • capability to occasionally lift or move 20+ lbs

Job Qualifications

  • BA/BS degree or equivalent experience in Hospitality Management or Event Planning
  • five plus years of incentive/meeting industry experience, corporate preferred
  • excellent written and verbal communication skills

  • ability to manage and implement budgets
  • advanced computer skills in Windows, MS Access, Word, Excel, PowerPoint, CVENT, and Outlook
  • ability and desire to service customers and stakeholders using effective listening and communication

Job Duties

  • Plan and execute internal corporate events, meetings, and sponsorship events
  • manage registration planning, hotel bookings, transportation, audiovisual production, and branding
  • analyze event results and implement improvements
  • manage program budgets and financial reporting
  • maintain stakeholder relationships and communicate program proposals
  • collaborate with stakeholders to assess program effectiveness and implement changes
  • develop and manage supplier partnerships
  • negotiate contracts and agreements with vendors
  • serve as liaison to hotels, airlines, and service providers
  • lead special projects as assigned
  • manage event logistics including venue selection, food and beverage, supplies, equipment, signage, decor
  • create and revise room layouts
  • coordinate on-site event production and cleanup
  • prepare event materials such as nametags and gift bags
  • close out events with accurate documentation
  • track event finances including invoicing and check requests
  • schedule events on company calendar
  • document event activities for communications
