Job Requirements

  • College degree or equivalent experience
  • Minimum 7+ years of experience in the meetings industry
  • Knowledge of virtual and hybrid event options
  • Ability to travel onsite approximately 35% both domestically and internationally
  • Proven excellent oral and written communication skills in internal and client-facing environments
  • Demonstrated track record of successfully managing large complex projects simultaneously
  • Ability to deliver creative outputs in constricted timelines while maximizing resources
  • Experience working in a virtual office environment a plus
  • Proficient in Microsoft Office systems
  • Experience with database management programs, Cvent preferred
  • Minimum 5+ years experience in specialty areas if applicable (Life Sciences, Conference & Tradeshow, Incentive Services).

  • Knowledge of virtual and hybrid event options
  • Proven excellent oral and written communication skills
  • Demonstrated track record of managing large complex projects simultaneously
  • Ability to deliver creative outputs under tight timelines
  • Proficient in Microsoft Office
  • Experience with event database management programs, preferably Cvent
  • Experience in Life Sciences programs, sales or clinical program management (if applicable)
  • Experience in Meeting/Conference Planning or Exhibit/Tradeshow Management (if applicable)
  • Experience in Incentive program management (if applicable).

Job Duties

  • Project management with consultative approach for virtual, hybrid or in person meetings
  • Client, financial, and vendor management
  • Marketing and sales, event design, and onsite services
  • Manage multiple projects on tight timelines
  • Act as a mentor to associates who are new to the company or promoted to the operations department
  • Follow all client mandated SOPs as required
  • Digital producer and/or tech support for your own events
  • Work with the procurement department to source and secure event space and guestrooms
  • Understand, review and monitor contract terms, space, and guest room blocks
  • Source, secure and manage all required suppliers for event including DMC/Ground company, AV/Production company, off-site venues
  • Profile management in event software for paid conferences and related complexities
  • Create and manage the program agenda, event resume, event specification sheets and client and internal timelines
  • Guide internal and external teams through effective communication and organized plans
  • Schedule and hold internal team meetings throughout the life of each event
  • Collaborate with travel management to offer airline booking to event attendees if needed
  • Act as liaison with designated vendors and hotel/venue to provide support and communication required for seamless event
  • Coordinate and schedule all required ground transportation
  • Conceptualize creative theming and special elements within approved budget
  • Coordinate speaker management including logistics and green room needs
  • Plan and execute large, complex events
  • Work with and guide client committee/planning team
  • Provide world class events through quality, flexibility, and service
  • Work with marketing and sales teams to recruit sponsors and grow attendance
  • Manage sponsorship sales and exhibit sales for conferences and tradeshows
  • Manage tradeshow exhibit floor design and layout
  • Provide leadership and communication to onsite teams and vendors
  • Manage onsite execution and emergency preparedness plans
  • Understand policies for hosting healthcare professionals (HCPs) and partner with compliance specialists
  • Build prospectus and manage sponsorship options for tradeshows
  • Collaborate with incentives and engagement departments to design guest programs and gifts
  • Provide mentorship to junior associates in all aspects of event management
  • Manage budgets including large and complex financials
  • Negotiate with vendors to secure best pricing and services
  • Manage post-event invoices and reconciliation
  • Coach junior team members through all event management processes.
