Job Requirements

  • College degree or equivalent experience
  • minimum 7 plus years of experience in meetings industry operations
  • knowledge of virtual and hybrid event formats
  • ability to travel onsite approximately 35 percent domestically and internationally
  • excellent oral and written communication skills
  • demonstrated ability to manage large, complex projects simultaneously
  • ability to work under tight deadlines while maximizing resources
  • proficiency in Microsoft Office suite
  • experience with event management software (Cvent preferred)
  • knowledge in Life Sciences, Conferences & Tradeshows, or Incentive Services specialties is preferred
  • capability to mentor and lead junior associates
  • experience in virtual office environments is a plus

Job Qualifications

  • College degree or equivalent experience
  • minimum 7 plus years of experience in the meetings industry, specifically in operations and specialty area if applicable
  • knowledge of virtual and hybrid event options
  • proven excellent oral and written communication skills
  • demonstrated track record of managing large complex projects simultaneously
  • ability to deliver creative outputs in constricted timelines while maximizing resources
  • proficiency in Microsoft Office systems (Outlook, Excel, OneNote, Word, PowerPoint)
  • experience with database management programs (Cvent preferred)
  • specialized experience for Life Sciences clients: minimum 5 plus years in Life Sciences programs, sales or clinical program management
  • specialized experience for Conference and Tradeshow clients: minimum 5 plus years in meeting/conference planning or exhibit/tradeshow management
  • specialized experience for Incentive Services clients: minimum 5 plus years in incentive program management
  • experience working in a virtual office environment is a plus

Job Duties

  • Project management with consultative approach for virtual, hybrid or in person meetings
  • client, financial, and vendor management
  • marketing and sales, event design, and onsite services
  • manage multiple projects on tight timelines
  • act as a mentor to associates who are new to the company or promoted to the operations department
  • follow all client mandated SOPs as required
  • digital producer and/or tech support for own events
  • work with procurement department to source and secure event space and guestrooms
  • understand, review and monitor contract terms, space, and guest room blocks
  • source, secure and manage all required suppliers for event including but not limited to DMC/ground company, AV/production company, off-site venues, etc.
  • profile management in event software (Cvent or client event software) for paid conferences and related complexities
  • create and manage the program agenda, event resume, event specification sheets and client and internal timelines
  • have a working knowledge of event software capabilities and guide clients on website development
  • collaborate with attendee registration on communications, reporting, and housing inquiries
  • guide internal and external teams through process with effective communication and organized plans
  • schedule and hold internal team meetings for each event
  • collaborate with group travel or TMC for airline booking
  • work with mobile app team to create client event apps
  • act as liaison with vendors and hotel/venue for seamless event execution
  • collaborate with FLOW division for gift and giveaway coordination
  • coordinate production agenda and show flow
  • BEO review and execution
  • coordinate all required ground transportation
  • create and distribute travel letters and departure notices
  • conceptualize creative theming and elements within budget
  • coordinate speaker management
  • secure and incorporate client products or requested items
  • plan and execute large, complex events
  • work with client committee/planning team
  • mentor junior associates
  • provide world class events through quality, flexibility, service, and interpersonal skills
  • work with FLOW division and client to create marketing plan
  • brainstorm marketing strategies
  • recruit sponsors and exhibitors
  • assist sales team with pitches
  • collaborate with creative team on promotional materials
  • research entertainment options
  • create décor and lighting presentations
  • manage diagrams and logistics for entertainment, equipment, AV, and lighting
  • act as liaison for vendors and hotel/venue
  • create production schedule and supervise deliverables
  • manage logistics and riders for entertainment
  • create concepts for team building and CSR activities
  • mentor junior associates in marketing and event design
  • demonstrate strategic cash flow management
  • understand client financial requirements and deadlines
  • create and manage budgets
  • manage event payment requests and processing
  • audit and reconcile vendor invoices
  • create cost savings worksheets
  • manage final invoicing and reconciliations
  • mentor junior associates in budgeting
  • source and negotiate with vendors for best pricing
  • manage vendor communications and expectations
  • collaborate on creative development with production vendors
  • manage vendor budget and timelines for marketing communications
  • mentor junior associates in vendor management
  • lead onsite team and vendors
  • manage pre-con and post-con meetings
  • create onsite execution and emergency preparedness plans
  • host daily staff meetings onsite

  • understand Life Sciences event policies and HCP payments
  • partner with HCP compliance specialists
  • build prospectus for tradeshows
  • manage sponsorship sales and exhibitor communications
  • manage tradeshow floor design and onsite visibility

  • collaborate with incentives and FLOW divisions
  • develop guest and children’s programs
  • design event graphics
  • coordinate room amenities and gifts
