Job Requirements
- College degree or equivalent experience
- Minimum 7 years experience in meetings industry operations
- Knowledge of virtual and hybrid event options
- Ability to travel approximately 35% domestically and internationally
- Excellent oral and written communication skills
- Experience managing large, complex projects
- Proficient in Microsoft Office including Outlook, Excel, OneNote, Word, and PowerPoint
- Experience with Cvent or similar event software preferred
- Ability to work in virtual office environment a plus
- Specialty-specific experience as applicable - Life Sciences, Conference & Tradeshow, or Incentive Services
Job Qualifications

- Knowledge of virtual and hybrid event options
- Ability to travel approximately 35% domestically and internationally
- Excellent oral and written communication skills
- Demonstrated track record managing large complex projects
- Ability to deliver creative outputs on tight timelines
- Experience with virtual office environment preferred
- Proficient in Microsoft Office
- Experience with database management programs, Cvent preferred
- Life Sciences specialty candidates must have 5 years experience in sales or clinical program management
- Conference and tradeshow specialty candidates must have 5 years experience in meeting/conference planning or exhibit/tradeshow management
- Incentive services specialty candidates must have 5 years experience in incentive program management
Job Duties
- Project management with consultative approach for virtual, hybrid or in-person meetings
- Client, financial, and vendor management
- Marketing and sales, event design, and onsite services
- Manage multiple projects on tight timelines
- Act as a mentor to associates who are new or promoted to operations
- Follow all client mandated SOPs
- Digital producer and/or tech support for events
- Source and secure event space and guestrooms
- Monitor contract terms, space, and guest room blocks
- Manage required suppliers including DMC, AV, production, off-site venues
- Profile management in event software such as Cvent
- Create and manage program agendas and event specification sheets
- Guide clients on event website development
- Collaborate on registration and attendee communications
- Schedule and hold internal team meetings
- Coordinate with group travel and mobile app teams
- Liaise with vendors and venues for seamless execution
- Secure gift and giveaway items
- Coordinate event agenda and show flow
- Review and execute banquet event orders
- Schedule ground transportation
- Distribute travel letters and departure notices
- Conceptualize creative theming and event elements
- Manage speaker logistics
- Incorporate client products into events
- Plan and execute large complex events
- Guide client committees
- Provide world-class events with high service quality
- Develop marketing plans and promotional materials
- Recruit sponsors and exhibitors
- Manage sponsorship sales and exhibit floor layout
- Create production schedules and manage setups
- Oversee entertainment logistics and riders
- Develop team building activities
- Mentor junior associates
- Manage financial budgets and invoice reconciliation
- Negotiate with vendors and manage payments
- Lead onsite teams and pre/post-con meetings
- Create onsite execution and emergency plans
- Understand HCP compliance for life sciences
- Build tradeshow prospectus
- Coordinate with Incentives and FLOW divisions
- Execute site inspections and client presentations
