Job Requirements

  • College degree or equivalent experience
  • minimum seven years of experience in meetings industry operations
  • knowledge of virtual and hybrid event options
  • ability to travel on-site approximately thirty-five percent domestically and internationally
  • excellent oral and written communication skills
  • ability to manage multiple large, complex projects simultaneously
  • strong creative problem-solving under constricted timelines
  • proficiency with Microsoft Office suite
  • experience with event database management software such as Cvent
  • specialized experience depending on area (life sciences, conference and tradeshow, or incentive programs)
  • ability to mentor and guide junior associates
  • knowledge of compliance and SOPs in event management
  • effective leadership and communication skills
  • capability to provide world-class customer service with flexibility
  • experience with financial management and vendor negotiations

Job Qualifications

  • College degree or equivalent experience
  • minimum 7+ years of experience in the meetings industry specifically in operations and specialty areas
  • knowledge of virtual and hybrid event options
  • ability to travel on-site 35% domestically and internationally
  • proven excellent oral and written communication skills
  • demonstrated track record of managing large complex projects simultaneously
  • ability to deliver creative outputs under tight timelines
  • experience working in a virtual office environment a plus
  • proficient in Microsoft Office (Outlook, Excel, OneNote, Word, PowerPoint)
  • experience with database management programs (Cvent preferred)
  • for Life Sciences specialty, minimum 5+ years in sales or clinical program management
  • for Conference & Tradeshow specialty, minimum 5+ years in meeting/conference or exhibit/tradeshow management
  • for Incentive Services specialty, minimum 5+ years in incentive program management

Job Duties

  • Project management with consultative approach for virtual, hybrid or in-person meetings
  • client, financial, and vendor management
  • marketing and sales, event design, and onsite services
  • manage multiple projects on tight timelines
  • act as a mentor to associates new to the company or promoted to operations
  • follow all client mandated SOPs
  • serve as digital producer or tech support for events
  • work with procurement to source and secure event space and guestrooms
  • understand, review, and monitor contract terms and guest room blocks
  • source, secure and manage all required suppliers including DMC, AV/production and off-site venues
  • manage event profiles in software like Cvent
  • create and manage program agenda, event resume, event specification sheets and timelines
  • guide clients on website development producing quality reports
  • collaborate on attendee communications, event reporting, and housing inquiries
  • facilitate internal team meetings including kick-off, pre-con, and post-con
  • coordinate group travel when needed
  • collaborate with mobile app team
  • liaise with vendors and venues to ensure seamless event execution
  • secure gifts and giveaways meeting client and company SOPs
  • coordinate production schedule and show flow
  • execute BEO review
  • coordinate ground transportation
  • manage travel letters and departure notices
  • conceptualize creative theming, special events, and branding
  • coordinate speaker management and event logistics
  • incorporate client products in events
  • plan and execute large complex events
  • guide client committee/planning teams
  • mentor junior associates in event planning
  • develop marketing plans with M&IW FLOW division
  • brainstorm marketing and promotion strategies
  • recruit sponsors and exhibitors
  • assist sales in pitches
  • design promotional and event materials
  • research entertainment options
  • create décor and lighting presentations
  • manage diagrams for event logistics
  • act as vendor liaison
  • manage deliveries and setups
  • organize team building, corporate social responsibility and sustainability events
  • manage financial budgets including large/complex budgets
  • process payments and invoices
  • create cost savings worksheets
  • negotiate vendor agreements
  • lead onsite teams
  • manage onsite execution plans and emergency preparedness
  • understand life sciences event policies and HCP payments
  • manage sponsorships and exhibit sales
  • design tradeshow floor plans
  • coordinate event communications
  • interface with incentives department and FLOW division for gifts and amenities
  • plan site inspections
  • mentor junior associates
  • manage event data and financials accurately throughout event lifecycle
  • provide exceptional customer service with flexibility and adaptability to various personalities
