Job Requirements
- College degree or equivalent experience
- Minimum 7 plus years experience in meetings industry focusing on operations and specialty areas if applicable
- Knowledge of virtual and hybrid event options
- Ability to travel onsite approximately 35 percent domestically and internationally
- Excellent oral and written communication skills
- Proven track record managing multiple large complex projects simultaneously
- Ability to deliver creative outputs within constricted timelines while maximizing resources
- Experience with virtual office environment a plus
- Proficient in Microsoft Office (Outlook, Excel, OneNote, Word, PowerPoint)
- Experience with database management software such as Cvent
- Minimum 5 plus years experience in Life Sciences programs, sales and/or clinical program management for Life Sciences specialty
- Minimum 5 plus years experience in meeting/conference planning or exhibit/tradeshow management for Conference & Tradeshow specialty
- Minimum 5 plus years experience in incentive program management for Incentive Services specialty

- Experience with event software such as Cvent
- For Life Sciences specialty: Minimum 5 years experience in Life Sciences program or clinical management
- For Conference and Tradeshow specialty: Minimum 5 years experience in conference planning or exhibit/tradeshow management
- For Incentive Services specialty: Minimum 5 years experience in incentive program management
- Experience working remotely or in virtual office environments is a plus
Job Duties
- Manage event projects using a consultative approach for virtual, hybrid, or in-person meetings
- Oversee client, financial, and vendor management
- Lead marketing, sales, event design, and onsite services
- Manage multiple projects with tight deadlines
- Mentor and guide junior associates
- Follow client mandated SOPs and compliance guidelines
- Provide digital production and technical support for events
- Coordinate procurement of event spaces and guestrooms
- Review and monitor contracts, space, and room blocks
- Source and manage suppliers including DMC, AV, production, and off-site venues
- Maintain accurate event profile management in software like Cvent
- Create and manage program agendas, resumes, and event specification sheets
- Guide registration and reporting processes and collaborate with attendee registration departments
- Lead internal team communications and meetings throughout the event lifecycle
- Collaborate with travel management companies for airline bookings
- Work with mobile app teams to develop event apps
- Act as liaison between vendors and venues
- Coordinate gift and giveaway items procurement
- Manage event agenda and show flow with Production
- Review and execute Banquet Event Orders (BEOs)
- Coordinate ground transportation and travel communications
- Develop creative event theming, entertainment, décor, and branding within budget
- Manage speaker registration, logistics, and Green Room needs
- Incorporate client product displays and banquet functions
- Plan and execute large complex events
- Collaborate with client committees and planning teams
- Execute marketing plans and brainstorm promotional ideas
- Recruit sponsors and exhibitors for conferences and tradeshows
- Design promotional materials and manage entertainment logistics
- Create team-building concepts and CSR/sustainability initiatives
- Manage event budgets including creation, cost savings, and reconciliation
- Negotiate vendor contracts and manage payments
- Lead onsite event teams and vendor coordination
- Conduct pre-con and post-con meetings
- Develop onsite execution and emergency preparedness plans
- Ensure compliance with pharmaceutical and Life Sciences event policies
- Build prospectus and manage sponsorships and exhibitor relations for tradeshows
- Collaborate on incentive services including guest programs and site inspections
- Provide mentorship across all specialty areas
- Foster quality, flexibility, and service excellence in all event aspects
