Job Requirements

  • College degree or equivalent experience
  • Minimum 7+ years of meetings industry experience
  • Ability to travel approximately 35% domestically and internationally
  • Proficient in Microsoft Office and database software
  • Knowledge of virtual, hybrid, and in-person event options
  • Excellent oral and written communication skills
  • Demonstrated ability to manage multiple complex projects
  • Experience working in virtual office environments is a plus
  • Specialty-specific experience as applicable to Life Sciences, Conference & Tradeshow, or Incentive Services specialties
  • Ability to mentor and guide junior-level associates
  • Ability to work with diverse personalities and maintain flexibility
  • Understanding of compliance with corporate and pharmaceutical guidelines.

Job Qualifications

  • College degree or equivalent experience
  • Minimum 7+ years of experience in the meetings industry with specialty area as applicable
  • Knowledge of virtual and hybrid event options
  • Proven excellent oral and written communication skills in internal and client-facing environments
  • Demonstrated track record of successfully managing large complex projects simultaneously
  • Ability to deliver creative outputs within constricted timelines
  • Experience working in a virtual office environment a plus
  • Proficient in Microsoft Office systems including Outlook, Excel, OneNote, Word, and PowerPoint
  • Experience with database management programs, preferably Cvent
  • Specialty-specific experience: Minimum 5+ years in Life Sciences programs, sales or clinical program management for Life Sciences specialty
  • Minimum 5+ years in meeting/conference planning or exhibit/tradeshow management for Conference & Tradeshow specialty
  • Minimum 5+ years in incentive program management for Incentive Services specialty.

Job Duties

  • Project management with consultative approach for virtual, hybrid or in person meetings
  • Client, financial, and vendor management
  • Marketing and sales, event design, and onsite services
  • Manage multiple projects on tight timelines
  • Act as a mentor to associates who are new to the company or promoted to the Operations department
  • Follow all client mandated SOPs as required
  • Digital producer and/or tech support for your own events
  • Work with the Procurement Department to source and secure event space and guestrooms
  • Understand, review and monitor contract terms, space, and guest room blocks
  • Source, secure and manage all required suppliers for event including but not limited to DMC/Ground company, AV/Production company, Off-site venues
  • Profile management in Event Software for paid conferences and related complexities
  • Create and manage program agenda, event resume, event specification sheets and timelines
  • Guide internal and external teams through effective communication and organized plans
  • Schedule and hold internal team meetings throughout life of event
  • Collaborate with Group Travel Department or TMC for airline booking if needed
  • Work with mobile app team to create an app meeting client event needs
  • Act as liaison with vendors and hotel/venue for seamless event execution
  • Coordinate with FLOW division for gifts and giveaways
  • Coordinate production to manage event agenda and show flow
  • BEO review and execution
  • Coordinate and schedule ground transportation using preferred vendors
  • Create and distribute travel letters and departure notices
  • Conceptualize creative theming and elements within approved budget
  • Coordinate speaker management, logistics, and materials
  • Secure and incorporate client products or requested items for event
  • Plan and execute large, complex events
  • Work with and guide client committee/planning team
  • Provide world class events through quality, flexibility and service
  • Collaborate with FLOW division and client on marketing plan
  • Brainstorm and suggest new marketing ways
  • Utilize sales and marketing techniques to recruit sponsors and exhibitors
  • Manage sponsorship sales for conferences and tradeshows
  • Manage tradeshow exhibit floor design and communication plans
  • Manage pre-event marketing communications for sponsors
  • Manage onsite set-up, layout, and execution of booth space
  • Create concepts for team building and CSR activities
  • Exhibit strategic cash flow management governance
  • Budget creation and management including complex budgets
  • Manage all event related payment requests and processing
  • Invoice auditing, reconciliation and cost savings management
  • Source, secure and negotiate with required suppliers
  • Mentor associates in vendor management
  • Provide leadership and communication onsite
  • Manage pre-con and post-con meetings
  • Create and manage onsite execution and emergency plans
  • Understand policies for events with healthcare professionals
  • Partner with compliance and reporting specialists
  • Build prospectus for tradeshows
  • Ensure registration website menu options support revenue
  • Collaborate to develop guest and children's programs
  • Plan and execute site inspections
  • Keep informed of incentive properties
  • Manage logistics and riders for entertainment companies
  • Mentor associates in marketing, sales, design, budget, reconciliation, vendor management and onsite services.
