Job Requirements

  • Bachelor's degree or equivalent experience
  • minimum four years of relevant event management or related experience
  • at least two years of supervisory experience
  • strong leadership and mentoring skills
  • proficiency in budget development and financial tracking
  • excellent organizational and project management skills
  • effective communication and collaboration abilities
  • ability to negotiate contracts and manage vendor relationships
  • experience in risk assessments and contingency planning
  • capability to develop strategic event plans
  • familiarity with marketing and promotional activities
  • ability to manage multiple complex events simultaneously
  • attention to detail and problem-solving skills

Job Qualifications

  • Bachelor's degree with a combination of experience
  • four years of experience in event management, hospitality, communications, or related field
  • minimum of two years managing direct reports
  • Certified Special Event Planner or Certified Meeting Professional certification preferred

Job Duties

  • Actively participates in strategic and operational planning for the Office of Special Events
  • assists with development of goals and objectives
  • leads and mentors two full-time staff members ensuring creativity, accuracy, and productivity
  • develops detailed event budgets and reports
  • conducts risk assessments, crisis, and contingency planning for events
  • leads collaborations with academic committees for institutional event success
  • writes and evaluates RFPs and RFBs for external vendors
  • manages planning and implementation of academic and ceremonial events including white coat ceremonies, pinning ceremonies, honor society inductions, student orientations, commencement, Match Day, receptions, dinners, lectures, workshops, and conferences
  • develops event goals, communications plans, timelines, and budgets
  • provides end-to-end planning including registration sites, timelines, reporting, contract negotiations, and vendor hiring
  • conducts site visits and negotiates cost savings
  • critiques event planning and recommends improvements
  • monitors budgets and tracks expenses
  • liaises with marketing on collateral and promotional needs
  • manages event logistics for load in/out and staging
  • anticipates staffing and resource requirements
  • completes post-event evaluations, budget reconciliation, and documentation
  • manages internal financial processing including invoicing and payments
  • supervises staff operational duties and provides training and mentoring
  • performs other duties as assigned
