Job Requirements
- Bachelor's degree in event management, marketing, business administration, sports management, or related field and two years of administrative experience in sports facilities operations, event rentals, or event coordination
- Valid Florida driver license and motor vehicle record meeting Alachua County policy #6-7
- Motor vehicle records reviewed prior to employment with restrictions on infractions and accidents
- Successful completion of applicable background checks pre-hire and ongoing
- Certified Crowd Manager Training provided by the County
- Ability to work flexible hours including evenings, weekends, and holidays
- Ability to lift and/or move up to 25 pounds
- Availability to work in emergency situations as required
- Effective communication skills and ability to maintain professional relationships
Job Qualifications
- Bachelor's degree in event management, marketing, business administration, sports management, or related field
- Two years of administrative experience in sports facilities operations, event rentals, or event coordination
- Certified Crowd Manager Training provided by the County
- Proficiency in Microsoft Office and basic scheduling/CRM software
- Strong communication and interpersonal skills
- Ability to work independently and exercise initiative
- Ability to manage multiple events simultaneously
- Excellent organizational and multitasking skills
- Ability to adapt to changing priorities and meet deadlines
Job Duties
- Coordinate scheduling and logistics for sporting events and public and special events
- Exude a positive customer service focus
- Collaborate with department staff to develop promotional materials and marketing campaigns
- Maintain facility calendars and booking systems
- Provide rental contracts and fee schedules to renters and receive bookings
- Serve as point of contact for event organizers and provide information on facility policies and resources
- Provide on-site event support and management including check-in, vendor coordination, and issue resolution
- Track and report hotel room nights generated by events
- Collect and analyze operational, financial, and event data and prepare reports
- Coordinate and oversee staffing, contractors, and service providers to ensure safe facility operations
- Ensure facilities meet quality and safety standards for events
- Oversee day-to-day operations and make independent decisions in absence of general manager
- Drive to attend meetings and pick up supplies
- Perform duties with professionalism and urgency
