Job Requirements

  • bachelor's degree preferred or its equivalent combination of education, training, and experience
  • minimum 2 years of high-level event experience
  • must be able to work early morning, day, weekend and holiday shifts as needed
  • ability to work in fast-paced environment
  • must have possess a high level of confidentiality

Job Duties

  • provide direct administrative assistance to sponsorship manager while acting as a primary liaison with internal and external partners to ensure all sponsor assets are delivered as contracted
  • support external communication calendar, created by sponsorship manager
  • lead collecting, tracking and submitting sponsor build permitting and COIs
  • maintain tracking and invoicing of sponsor related operational expenses such as heavy equipment, electrical and Wi-Fi
  • assist with accounts payable and receivable related to sponsors
  • develop a thorough understanding of available assets and existing contracts
  • create, maintain, and distribute documents for sponsor load in and load out logistics
  • manage fulfillment including sponsor ticket, parking (both physical mailings and digital distribution) and marketing assets such as logo usage
  • act as main point of contact for assigned associates onsite (clients, external partners and others)
