Job Requirements

  • graduation from an accredited college or university with a bachelor's degree
  • minimum five years of progressively responsible work experience in planning special events
  • at least two years experience in a supervisory role
  • certified crowd manager required or ability to obtain within 90 days of hire
  • possession of FEMA 100, 200, 700, and 800 certifications or ability to obtain within six months of hire
  • possession of valid driver's license and maintenance of clean driving record with ability to obtain valid Florida driver's license within 30 days from date of hire
  • ability to pass a drug screening

Job Qualifications

  • certified festivals and events executive or certified festivals and events associate certification preferred
  • certified crowd manager required or ability to obtain within 90 days of hire
  • possession of FEMA 100, 200, 700, and 800 certifications or ability to obtain within six months of hire
  • possession of valid driver's license and ability to obtain valid Florida driver’s license within 30 days of hire
  • proficiency in Microsoft Suite including Word, Excel, and PowerPoint
  • strong writing and oral communication skills
  • knowledge of municipal event planning and city policies
  • ability to plan, organize, schedule, and monitor volunteers
  • ability to establish and maintain effective working relationships

Job Duties

  • provide daily support to the Special Events Director and Administrator by helping carry out directives, timelines, tasks, and goals
  • plan, coordinate, and carry out new and existing City events such as veterans' ceremonies, memorials, festivals, concerts, and ribbon cuttings
  • prepare comprehensive projected and actual event budgets in coordination with the Special Events Division
  • monitor and track all event related expenditures to ensure fiscal responsibility and compliance with approved financial plans, City procurement policies, and contractual obligations
  • lead the full lifecycle of new event development including concept creation, community and market research, feasibility analysis, timeline planning, operational logistics and on-site execution
  • ensure all event rules, regulations, policies, and procedures are properly implemented and followed
  • negotiate contracts for outside services associated with special events
  • coordinate all road closures through FDOT for special events
  • manage and coordinate compliance of certificate of insurance and event liability exposure with Risk Management
  • determine and obtain necessary levels of support needed from other departments including Police, Public Works, Communications
  • serve as Special Events liaison with other City departments and external agencies to facilitate successful events
  • lead preparation and compilation of post-event reports including detailed analysis of attendance, budget performance, operational outcomes, and public feedback
  • maintain the special events calendar and respond to special events requests
  • act as liaison for Special Events Technical Advisory Committee including maintaining City-wide events calendar and monthly agenda
  • interact and communicate with city officials, community leaders, business owners, civic groups, and the public
  • serve as content manager for the Special Event website and assist Communications with updates
  • represent the Special Event Division professionally in meetings, speaking engagements and public forums
  • work special events as assigned including nights, weekends, and holidays
  • carry out supervisory responsibilities including interviewing, hiring, training, appraising, rewarding, disciplining employees and addressing complaints
