Job Requirements

  • Bachelor’s degree or equivalent work experience
  • 3-5 years of experience in event planning preferably in nonprofit fundraising
  • Proven budget management skills
  • Successful evaluation of a background check
  • Availability for evening and weekend hours
  • Reliable transportation for off-site meetings
  • Ability to lift up to 25 lbs and stand for extended periods during events
  • Flexibility with schedule to accommodate organizational needs

Job Qualifications

  • Bachelor’s degree in nonprofit management, communications, marketing, or related field
  • 3-5 years of experience in event planning preferably within nonprofit fundraising
  • Proven success managing budgets, vendors, and sponsorship relationships
  • Exceptional organizational and project management skills
  • Strong written and verbal communication skills
  • Excellent interpersonal skills and customer service orientation
  • Proficiency with Microsoft Office Suite
  • familiarity with donor databases and event management software preferred
  • Creative problem solver able to adapt quickly and stay calm under pressure
  • Ability to lift up to 25 lbs and stand for extended periods during events

Job Duties

  • Plan, organize, and manage all aspects of special events including the annual Gala, donor and volunteer appreciation events, and fundraising initiatives
  • Develop event timelines, budgets, and work plans to ensure goals are achieved on time and within budget
  • Oversee vendor selection, contracts, and logistics including venue, catering, decor, entertainment, and AV
  • Collaborate with development team to secure corporate sponsorships, in-kind donations, and event revenue
  • Assist in creating sponsorship proposals, benefit packages, and follow-up reports
  • Partner with marketing and communications teams to develop event branding, invitations, and digital campaigns
  • Liaise with and recruit volunteers including League, Friends, and Picnic with the Pops volunteers
  • Provide clear guidance, roles, and on-site leadership for volunteers and staff during events
