Job Requirements
- Bachelor's degree preferably in hospitality, communications, or marketing
- minimum two years experience in special events planning within higher education or similar settings
- superior written communication skills
- strong organizational abilities
- proficiency with Microsoft Office Suite including Teams, Excel, Word, Forms, and PowerPoint
- effective interpersonal skills
- ability to work collaboratively and independently
- ability to prioritize multiple projects simultaneously
- willingness to work some nights and weekends
- ability to transport, set up, and breakdown event materials both indoors and outdoors
Job Qualifications
- Bachelor's degree ideally in hospitality, communications, or marketing
- two years of experience in special events planning in higher education or related organizations
- superior written communication and organizational skills
- comprehensive understanding of Microsoft Office Suite and social media
- excellent interpersonal skills with colleagues, supervisors, students, and families
- ability to work effectively both independently and in teams
- detail-oriented, self-motivated, and flexible
- experience supporting student services or academic programs preferred
- familiarity with event planning software and Rush brand standards preferred
Job Duties
- Plan and manage all events sponsored by Rush Medical College including White Coat Ceremony, Match Day Celebration, Awards Ceremony, and other key events
- collaborate with RMC Admissions and Student Affairs on their specific events
- work with Vice Dean of Education and Student Experiences and Head of the Division of Translational Sciences on Research Symposium planning
- coordinate with Rush University Student Affairs and Alumni Relations for graduation and commencement activities
- manage Continuing Medical Education paperwork related to events
- coordinate event communication through websites and newsletters
- organize and oversee all event-related tasks including budgeting, venue selection, marketing, invitations, registration, and day-of coordination
- assist in contract processing, venue research, post-event reporting, and leadership communication
- develop timelines and monitor progress of all activities
- manage relationships with internal and external venues including enforcing Rush guidelines
- partner with Marketing Communications and Creative Media for event publicity and branding
- generate new event ideas and suggest process improvements
- perform other related special projects and event responsibilities as assigned
