Job Requirements

  • Bachelor’s degree or equivalent relevant work experience
  • Minimum three years in event planning or coordination
  • Ability to manage multiple events simultaneously
  • Proficient in Microsoft Office applications and Adobe products
  • Strong organizational and communication skills
  • Ability to negotiate and manage vendor relationships
  • Detail-oriented with problem-solving capabilities
  • Ability to handle physical demands including lifting up to 30 pounds
  • Ability to travel within Dallas/Fort Worth area
  • Ability to work under time pressure
  • Strong interpersonal skills to build relationships with stakeholders
  • Spanish fluency preferred but not required

Job Qualifications

  • Bachelor’s degree or relevant work experience
  • Minimum three years of event planning or coordination experience
  • Proven skills in event research and vendor negotiation
  • Ability to manage event budgets effectively
  • Strong organizational and problem-solving skills
  • Excellent communication skills including public speaking
  • Proficiency in Microsoft Office and Adobe products
  • Experience with database management
  • Ability to work independently and as part of a team
  • Experience in nonprofit or educational environments is a plus

Job Duties

  • Assist in planning and executing network-wide events
  • Maintain event calendar invites with all pertinent information
  • Develop annual event calendars and project plans aligned with organizational goals
  • Conduct research for venues, promotional items, and vendors
  • Obtain competitive quotes and negotiate vendor pricing
  • Prepare event action plans and graphic design requests
  • Monitor event budgets including requisitions and purchase orders
  • Collaborate with cross-functional teams to ensure messaging and logistics alignment
  • Capture event photos to enhance visibility and engagement
  • Serve as liaison between stakeholders and vendors to ensure clear communication
  • Ensure event materials follow brand and visual identity guidelines
  • Research and recommend new event trends, tools, and technologies
  • Coordinate details such as guest lists, food and beverage, audiovisual needs, and facility arrangements
  • Track event metrics and provide post-event reports
  • Create detailed event setup logistical plans and layouts
  • Manage communications and marketing for special events
  • Assign staff and volunteer duties
  • Coordinate production and distribution of printed materials for donor events
  • Create, distribute, and analyze surveys related to events
  • Report to Special Events Manager
