Job Requirements

  • Minimum one year event planning experience
  • Minimum one year catering experience
  • Ability to work full-time with flexible schedule including evenings, weekends, and holidays
  • Strong communication and organizational skills

  • Capability to supervise staff and manage large-scale events
  • Comfortable using CRM systems and event documentation tools

  • Proficiency in event management software or CRM systems

  • Experience coordinating with kitchen and banquet staff

Job Duties

  • Plan, coordinate, and execute events at multiple venues including weddings, rehearsal dinners, corporate and social events
  • Assist with large-scale or complex events at additional venues and off-site locations
  • Serve as the on-site lead during events overseeing operational details from setup through breakdown
  • Act as the primary point of contact for clients and hosts ensuring requests are met and concerns handled professionally
  • Create and manage proposals, banquet event orders (BEOs), layouts, timelines, and detailed event documentation
  • Review BEOs with banquet staff and supervise staff throughout service
  • Coordinate with kitchen regarding menus, allergies, special requests, and food timing
  • Ensure event spaces are set up per BEO specifications including tables, chairs, buffets, decor, signage, and equipment
  • Make real-time operational decisions during events to ensure successful execution
  • Maintain thorough event documentation in CRM and communicate updates to team
  • Properly open and close venues and maintain them in a clean, organized, and event-ready condition
  • Supervise banquet staff during events and assist with training
  • Handle event-related communications, payments, and post-event evaluations
  • Assist with major company events and festivals throughout the year
