Job Requirements

  • 1-2 years of experience in event production or coordination
  • Familiarity with banquet event orders (beos) and event management software
  • Strong organizational skills
  • Excellent communication skills both written and verbal
  • High attention to detail and problem-solving ability
  • Proficiency in microsoft office suite
  • Ability to work in a fast-paced environment
  • Flexibility to work evening and weekend hours
  • Ability to lift up to 25 lbs
  • Ability to stand or walk for extended periods
  • Occasional lifting and carrying of event equipment

Job Qualifications

  • 1-2 years experience in event production or coordination preferably in a museum, nonprofit, or fine-art gallery setting
  • Familiarity with Banquet Event Orders (BEOs) and event management software such as TripleSeat, MailChimp, or Social Tables
  • Strong organizational skills with ability to manage multiple tasks and prioritize effectively
  • Excellent written and verbal communication skills for interaction with vendors, clients, and teams
  • High level of attention to detail and troubleshooting skills
  • Proficiency in Microsoft Office Suite including Word, Excel, and PowerPoint
  • Ability to work well in fast-paced environments maintaining calm and organization under pressure
  • Flexibility to work evening and weekend hours as required

Job Duties

  • Assist in the planning and coordination of museum events including galas, private events, public programs, and special exhibitions
  • Collaborate with the Sales Lead and Marketing Department to implement event timelines, venue setups, and production schedules
  • Coordinate with internal teams such as catering, marketing, curatorial, and security to ensure all event details are covered
  • Help organize, setup, and manage event materials, signage, decor, and other event essentials
  • Assist in preparing and distributing Banquet Event Orders (BEOs) for internal teams and external vendors ensuring accurate documentation
  • Track changes and updates to BEOs and communicate revisions to relevant stakeholders
  • Support the Sales Lead and Marketing Department in managing event budgets and aligning BEO details with financial and experiential goals
  • Liaise with vendors including caterers, AV technicians, decorators, and entertainers to confirm details, deliverables, and timelines
  • Assist in scheduling and coordinating vendor arrivals, setups, and breakdowns
  • Monitor vendor performance during events and resolve any issues
  • Provide on-site support during event setup and execution ensuring event components are in place
  • Assist in managing event staff and volunteers providing direction as needed
  • Handle logistical details during events including guest registration, catering, signage, and troubleshooting
  • Help manage guest experience ensuring smooth event flow and satisfaction
  • Maintain detailed event files including BEOs, contracts, and communications
  • Assist with event-related correspondence including email confirmations and follow-ups
  • Prepare event reports tracking attendance, budgets, and post-event evaluations
  • Assist with post-event clean-up and organization ensuring all materials are accounted for
