Job Requirements

  • High school diploma or equivalent
  • Prior experience in sales or event coordination preferred
  • Excellent communication skills
  • Ability to manage multiple priorities simultaneously
  • Proficient in Microsoft Office and hospitality software
  • Strong organizational skills
  • Ability to lift and move objects up to 60 pounds
  • Availability to work flexible hours
  • Must adhere to dress and grooming standards
  • Ability to comply with safety procedures
  • Team player with positive attitude

Job Qualifications

  • Previous experience in hospitality or event coordination preferred
  • Strong communication and organizational skills
  • Proficiency with reservation and sales management systems
  • Ability to multitask and manage time effectively

  • Ability to work collaboratively in a team environment
  • Basic knowledge of sales and catering operations

Job Duties

  • Make copies of and distribute daily hot sheet
  • Create daily event signs and distribute to leaders and relevant departments
  • File event receipts and completed event files
  • Create, post, gather, and close PM numbers for upcoming events
  • Answer and field incoming calls, assist callers, transfer as needed, and take messages
  • Maintain catering binder and packet with events for the next 10 days, updating daily
  • Answer incoming reservation calls, greet guests, process reservations including group, VIP and FIT, and ensure accurate billing
  • Record reservation details and business codes
  • Work with sales managers to identify commissionable reservations and communicate details to accounting
  • Maintain room inventory and advise hotel on availability
  • Capture sales opportunities from calls and email requests
  • Coordinate with sales managers on group bookings and billing
  • Issue and track gift certificates
  • Assist front desk as needed
  • Prepare weekly function calendar and BEO packets, compile and distribute
  • Attend weekly GRC meetings
  • Prepare weekly group resumes for incoming programs
  • Review group cutoff dates and communicate deadlines
  • Work with sales and accounting to collect deposits and ensure billing accuracy
  • Assist senior manager and director of special events with various duties
  • Prepare B&C forecast reports bi-monthly
  • Prepare slide presentations for quarterly meetings
  • Keep general manager informed of all issues
  • Adhere to company policies and maintain favorable working relationships
  • Project a favorable image of the hotel at all times
  • Follow hotel dress and grooming standards
  • Minimize safety hazards by following safety rules and procedures
