Job Requirements

  • two years of events management experience
  • two years of customer service experience
  • proven success in event planning or coordination
  • excellent communication and relationship-building skills

Job Qualifications

  • two years of events management experience
  • two years of customer service experience
  • proven experience in event planning or coordination especially with fundraising or non-profit events
  • excellent interpersonal and communication skills
  • highly organized with meticulous attention to detail
  • ability to multitask and manage competing priorities under strict deadlines and budgets
  • calmness under pressure with sound decision-making skills
  • flexible and adaptable approach
  • genuine interest in supporting the mission of the Alaska Jewish Campus
  • bachelor’s degree or equivalent in event management, hospitality, marketing, or related field preferred
  • experience in marketing or public relations preferred
  • familiarity with auction software such as Greater Giving highly preferred

Job Duties

  • manage all aspects of event planning and execution
  • meet strict deadlines and stay within budget
  • attend bi-weekly planning meetings with campus leadership
  • build and maintain strong relationships with vendors, venues, and other industry contacts
  • negotiate contracts and ensure timely delivery of services
  • develop and implement comprehensive procedures for volunteer staff
  • recruit, train, schedule, and oversee volunteers
  • ensure volunteer needs are met and effectively managed on-site
  • ensure full compliance with legal, insurance, health, and safety regulations
  • collaborate with internal staff, clients, and vendors to define and refine all requirements for the gala
  • oversee vendor management including photographers, photo booth, catering, etc.
  • manage light, audio, and video production including outsourcing if needed
  • coordinate catering including wine acquisition and special meals
  • maintain meticulous attention to schedule, timeliness, quality control, and quantities
  • oversee on-site preparations, production, and event breakdown
  • maintain consistent high-level service throughout all phases
  • troubleshoot any issues that may arise during the event
  • maintain sensitivity to cultural requirements
  • assume full responsibility for all event needs from Friday noon to Saturday night during the event
  • oversee post-event debrief and reporting
  • gather feedback for continuous improvement
