Job Requirements

- two years of events management experience
- two years of customer service experience
- proven success in event planning or coordination
- excellent communication and relationship-building skills
- exceptional organization and time management

Job Qualifications

- two years of customer service experience
- proven experience in event planning or coordination especially with fundraising or non-profit events
- excellent interpersonal and communication skills
- highly organized with meticulous attention to detail
- ability to multitask and manage competing priorities under strict deadlines and budgets
- calmness under pressure with sound decision-making skills
- flexible and adaptable approach
- genuine interest in supporting the mission of the Alaska Jewish Campus
- bachelor’s degree or equivalent in event management, hospitality, marketing, or related field preferred
- experience in marketing or public relations preferred
- familiarity with auction software such as Greater Giving highly preferred
Job Duties
- manage all aspects of event planning and execution
- meet strict deadlines and stay within budget
- attend bi-weekly planning meetings with campus leadership
- build and maintain strong relationships with vendors, venues, and other industry contacts
- negotiate contracts and ensure timely delivery of services
- develop and implement comprehensive procedures for volunteer staff
- recruit, train, schedule, and oversee volunteers
- ensure volunteer needs are met and effectively managed on-site
- ensure full compliance with legal, insurance, health, and safety regulations
- collaborate with internal staff, clients, and vendors to define and refine all requirements for the gala
- oversee vendor management including photographers, photo booth, catering, etc.
- manage light, audio, and video production including outsourcing if needed
- coordinate catering including wine acquisition and special meals
- maintain meticulous attention to schedule, timeliness, quality control, and quantities
- oversee on-site preparations, production, and event breakdown
- maintain consistent high-level service throughout all phases
- troubleshoot any issues that may arise during the event
- maintain sensitivity to cultural requirements
- assume full responsibility for all event needs from Friday noon to Saturday night during the event
- oversee post-event debrief and reporting
- gather feedback for continuous improvement
