Job Requirements

  • Must have the right to work and remain in the United States without visa sponsorship
  • Must hold valid driver’s license
  • 2-4 years of related administrative experience
  • Advanced proficiency using Microsoft Excel, Outlook, PowerPoint, and Word
  • Excellent written and verbal communication skills
  • Ability to work in a fast-paced environment and multitask
  • Willingness and ability to work overtime with little or no notice
  • Strong organizational skills and ability to prioritize administrative deliverables
  • Ability to work under changing site conditions
  • Previous administrative experience in construction setting is advantageous

Job Qualifications

  • 2-4 years of related experience
  • Advanced proficiency in Microsoft Excel, Outlook, PowerPoint, and Word
  • Excellent written and verbal communication skills including spelling, grammar, punctuation, and proper use of syntax
  • Ability to work in a fast-paced environment with strong multitasking skills
  • Valid driver’s license
  • Previous experience working as an administrative assistant or secretary is helpful
  • Experience working at a construction jobsite is a plus
  • Ability to work in changing site conditions

Job Duties

  • Receives and screens phone calls and visitors and directs them to appropriate parties
  • Composes and distributes complex correspondence using standard word processing systems or other software applications
  • Reviews accuracy and format of outgoing documents requiring manager approval
  • Coordinates requests from client, manager, and in-house staff
  • Determines action on important or emergency matters and knows whom to contact in absence of manager
  • Maintains file of important matters for manager attention upon return
  • Collects, reviews, and distributes incoming hard copy mail
  • Coordinates complex travel arrangements including details of business plans
  • Prepares itineraries and expense reports
  • Coordinates meetings and arrangements for facilities, required equipment, and catering
  • May prepare and distribute notices, agendas, information packets, and minutes
  • Independently maintains a hard copy or electronic calendar for responsible manager(s)
  • May coordinate vehicle maintenance including driving vehicles to local shops for repairs
  • May manage vehicle mileage logs and parking pass assignments
  • Handles facility coordination and badge issuance
  • May assist with timekeeping as needed
  • Performs other administrative tasks as required
