Job Requirements
- high school graduate or equivalent
- one year of related and progressively responsible experience preferred
- automotive retail background is a plus
- minimum of 18 years of age
- valid California driver license with a clean DMV record
Job Qualifications
- high school diploma or GED
- minimum five years of experience in accounting or related roles within automotive, retail, sales, hospitality, or food and beverage industries
- basic knowledge of office administration
- strong communication and customer service skills
- ability to manage multiple tasks efficiently
- proficient with telephone systems and computer software
- attentive to detail and organized
- ability to build relationships with manufacturers and vendors
- goal-oriented with an emphasis on meeting proficiency targets
Job Duties
- greet clients and handle telephone communications professionally and efficiently
- manage appointment calendars and place reminder calls
- receive and route mail, maintain and distribute publications
- manage fax machine operations including sending and receiving faxes
- maintain office supply inventory and perform general clerical duties such as filing and data entry
- work with management to maintain accounts payable records and issue payments
- follow company policies and procedures
- promptly communicate client concerns to management
- administer warranty claims within designated time frames
- review and correct rejected claims before resubmission
- ensure repair order documentation complies with all requirements
- stay current with manufacturer publications regarding warranty claims
- identify extra charge claims during booking
- maintain relationships with manufacturer representatives and vendors
- participate in setting personal performance goals
- manage warranty schedules to process aging claims
- post credit notes and reconcile receivables
- provide backup support to the service booker and potentially supervise booking personnel
- cross-train in related practices and policies to ensure consistent department coverage
