Job Requirements

  • 1-3 years experience in office administration, dispatching, customer service, or similar role
  • Strong communication skills
  • Ability to multitask and work in a fast-paced environment
  • Proficiency with Microsoft Office
  • Strong organizational skills
  • Attention to detail
  • Ability to pass a federal background check (HSPD-12)

Job Qualifications

  • 1-3 years experience in office administration, dispatching, customer service, or similar role
  • Strong communication skills including phone, email, and in-person interactions
  • Proficiency with Microsoft Office applications such as Outlook, Excel, and Word
  • Strong organizational skills and attention to detail
  • Ability to pass a federal background check (HSPD-12)
  • Experience in facility services, construction, maintenance, or dispatching trades preferred
  • Familiarity with CMMS/NCMMS or other work order systems preferred
  • Experience working in federal or high-security buildings preferred
  • Bilingual ability in English/Spanish is a plus

Job Duties

  • Receive service requests via phone, email, or walk-in and create work orders in the CMMS/NCMMS
  • Dispatch HVAC, electrical, plumbing, grounds, and maintenance technicians based on priority and skill
  • Track work order progress and update statuses in real time
  • Monitor recurring PM schedules and coordinate technician assignments
  • Follow up with technicians to ensure timely completion and accurate documentation
  • Answer incoming calls in a professional and friendly manner
  • Greet visitors and coordinate check-ins in compliance with federal building rules
