Job Requirements
- Possess a bachelor’s degree or equivalent education and experience
- Have 3-5 years of related event planning experience
- Pass pre-employment background check and subsequent background investigation
- Complete a probationary period
- Maintain a bank account for direct deposit
- Be eligible to work in the United States
- Meet all qualification and eligibility requirements within 30 days of the closing date
- Demonstrate ability to handle multiple responsibilities and meet deadlines
- Exhibit high degree of initiative, organization, thoroughness, and flexibility
- Skill in delegation and supervision of lower-level staff
- Ability to interact diplomatically and discreetly with a variety of stakeholders
- Working knowledge of Federal contracting and procurement principles
- Ability to communicate clearly and objectively in writing and orally
- Provide educational credential equivalency if education completed outside the U.S.

Job Qualifications
- Bachelor’s degree from an accredited four-year college or university or equivalent combination of education and experience
- 3-5 years of related experience in special events and conference planning
- Knowledge of protocol and event appropriateness concerning location and timing
- Familiarity with the organizational structures of the U.S. Government, foreign nations, and private enterprise
- Understanding of management processes and ability to improve operations
- Experience interacting diplomatically and effectively with staff, donors, board members, and public
- Knowledge of non-profit fundraising and membership programs
- Strong organizational skills with ability to handle multiple responsibilities and meet deadlines
- Proficiency in budget preparation and control
- Knowledge of Smithsonian standards and policies for travel, accounting, insurance, security, and event planning
- Excellent oral and written communication skills with interpersonal teamworking abilities
- Educational credential equivalency evaluation for foreign degrees if applicable
Job Duties
- Make preparations and coordinate major Smithsonian events and conferences, often on short notice
- Serve as primary Smithsonian point of contact for events and conferences
- Implement Smithsonian Institution policies in event and conference programs
- Formulate and develop entire program for assigned events including format, timing, program, and promotional activities
- Establish and maintain relationships with external groups including government agencies and private organizations
- Act as liaison between OSEP and various internal and external stakeholders
- Conduct event walk-throughs and meetings to ensure successful delivery
- Prepare and monitor budgets, secure contracts, and verify invoices according to Smithsonian policies
- Work closely with the Office of Advancement to support donor relations activities
- Maintain timelines and draft diagrams for meeting spaces
- Attend events to oversee setup, troubleshoot issues, and manage cleanup activities
- Mentor junior staff and assist with orientation
- Monitor and recommend revisions to Smithsonian procedures and policies for events
- Advise and assist Smithsonian staff and senior management on event planning and protocol matters
