Job Requirements
- must be legally authorized to work in the United States without employer sponsorship now or in the future
- 3-6 years of relevant experience in meeting and event planning including sourcing, contract negotiation, budget and logistics management
- ability to work independently on multiple projects under deadlines
- strong communication skills
- ability to manage high workload and stress
- proficiency with Microsoft Office and Zoom preferred
- excellent customer service
Job Qualifications
- 3-6 years of relevant experience in meeting and event planning including sourcing, contracting, budget management and logistics management
- excellent communication skills, both written and oral, with a consultative style
- project management skills including understanding scope, creating timelines and forecasts, and delivering on time to budget
- experience in planning trade shows or industry conferences
- solutions and results oriented approach
- ability to work independently on multiple projects and under deadlines
- ability to manage high volume workload and stress
- proficiency with Word, Excel, Outlook and Zoom preferred
- excellent customer service skills
Job Duties
- deliver exceptional client service with a consultative, solutions-oriented approach
- forecast management and impeccable data integrity
- strict adherence to meeting protocols including cost saving measures, risk policies, contract approvals
- liaison between meeting stakeholders, vendors, registration, procurement and operations teams
- source appropriate venues to capture vision and meet budget, size and date requirements
- frequent interaction and communication with firm leadership and external clients
- serve as single point of contact for event sponsor and venue
- develop, review and approve detailed specifications for hotel or venue operations
- review, manage and negotiate contracts with off-site venues and vendors
- provide on-site support for meetings to ensure successful execution
- audit and submit all event related invoices
- post meeting reporting and reconciliation
