Job Requirements

  • 5-7 years of relevant experience in meeting and event planning including sourcing, contracting, budget and logistics management
  • Must be legally authorized to work in the United States without the need for employer sponsorship now or in the future
  • Excellent communication skills both written and oral with a consultative style
  • Proven project management ability including scope understanding, timeline creation, detailed event forecasts, and delivery on time and budget
  • Experience in planning trade shows or industry conferences
  • Solutions and results oriented mindset
  • Ability to work independently on multiple projects simultaneously and under deadlines
  • Ability to handle high volume workload and fast pace, manage stress
  • Strong working knowledge of Word, Excel, Outlook, and Zoom
  • Excellent customer service skills

Job Duties

  • Manage, plan, and execute the Deloitte Ecosystem & Alliance live event portfolio including events and industry conferences and tradeshows
  • Travel to and provide onsite support at events throughout the year
  • Deliver engaging and thoughtful customer experiences at events ranging from intimate client dinners to large-scale hospitality events
  • Partner with marketing on tradeshow booth production, technology integration, branding installations, and hospitality elements
  • Source appropriate venues and vendors to meet event vision, budget, and logistical requirements
  • Manage all event coordination including day-to-day administration, speaker, venue, vendor communication, and cross-departmental collaboration
  • Communicate objectives, project status, and updates consistently to stakeholders
  • Deliver exceptional client service with a consultative, solutions-oriented approach
  • Manage forecast and maintain data integrity
  • Adhere strictly to meeting protocols including cost-saving measures, risk policies, and contract approvals
  • Interact frequently with firm leadership and external clients through registration and coordination
  • Serve as single point of contact for the event sponsor and venue
  • Develop detailed run of show and event timelines
  • Review, manage, and negotiate contracts with off-site venues and vendors leveraging cost savings
  • Audit and submit event-related invoices
  • Conduct post meeting reporting and reconciliation
  • Manage and produce virtual events including speaker agreements and vendor coordination when applicable
