Job Requirements

  • Bachelor’s degree or equivalent combination of education and experience
  • Minimum seven years of experience in event and program management
  • Proficiency with computer applications including email, databases, word processing, spreadsheets and graphics
  • Strong interpersonal and communication skills
  • Ability to manage multiple projects and deadlines
  • Leadership and organizational skills
  • Ability to travel frequently, approximately 25 to 50 percent
  • Ability to lift and/or carry 25-30 pounds of equipment
  • Comfortable working in a hybrid office environment

Job Qualifications

  • Bachelor’s degree in marketing or relevant field, or equivalent combination of education and experience
  • Seven years of experience in event and program management
  • Proficient computer skills including email, routine database activity, word processing, spreadsheets, graphics, etc.
  • Excellent interpersonal skills and the ability to work with diverse personalities in a tactful and flexible manner
  • Good reasoning skills and sound judgment
  • Ability to handle multiple projects, while meeting related deadlines
  • Leadership skills with the ability to organize, analyze and prioritize work assignments

Job Duties

  • Plan medium/large size meetings and events and assist with larger meetings for employees and clients
  • Provide support to the client before, during and after meetings and events
  • Update and follow meeting checklists
  • Execute on-site support when applicable
  • Research meeting sites, hotels, and other vendors to compare services and cost estimates
  • Negotiate terms and conditions of contracts and ensure all company clauses are included
  • Create registration website
  • Develop necessary reports (rooming lists, manifests, etc.)
  • Responsible for site selection and food and beverage selections, as well as determine needs for audio-visual, transportation, and other services as needed
  • Allocate planned budgets for meetings and events
  • Ensure materials (invites, websites, presentations, etc.) are compliance approved and meet brand standards
  • Maintain accurate and updated meeting records
  • Track historical data for future budgeting planning
  • Apply fundamental concepts
  • work on assignments of moderate scope and complexity with limited oversight
  • make recommendations for changes to procedures and perform varied work requiring some originality or ingenuity
  • Mentor other planners
  • Provide expertise and guidance regarding event planning issues and processes including but not limited to housing management, food and beverage planning, meeting room sets, audio visual specifications, and travel services
  • Assist clients with agenda development
  • Solve complex problems in creative ways
