Job Qualifications

  • 5–7+ years of executive-level administrative experience, preferably supporting C-suite, GM, or senior leadership in luxury hospitality or comparable fast-paced service environment
  • Strong financial acumen
  • confident working with hotel P&Ls, forecasting, and business analytics
  • Proficient in Microsoft Office Suite, especially advanced Excel (pivot tables, VLOOKUPs, XLOOKUPS, formulas)
  • Experience with Opera, Birchstreet Micros, M3, ProfitSword and Marriott systems preferred
  • Professional written and verbal communication skills, with an ability to represent leadership internally and externally
  • Proven ability to manage multiple projects and shifting priorities in a calm, confident manner

Job Duties

  • Manage the GM’s daily schedule, calendar, and meeting logistics with accuracy, discretion, and foresight
  • Prepare correspondence, briefings, agendas, presentations, and follow-up materials on behalf of the GM
  • Serve as a key liaison between the GM’s office and internal teams, ownership, Marriott corporate partners, and external stakeholders
  • Coordinate travel arrangements and executive-level itineraries as needed
  • Serve as note taker for weekly Executive Committee Meetings and other meetings as needed
  • Book room and restaurant reservations as needed
  • Conduct weekly property walks with the Operations team in absence of General Manager
  • Partner with leadership and revenue management to review financial performance metrics, operating forecasts, and department budgets
  • Run and reconcile reports from Opera, Micros, Medallia, M3, and Marriott systems
  • interpret data to surface business and customer insights
  • Monitor key performance indicators (RevPAR, ADR, GOP, labor costs, etc.) and assist in preparing reporting packages for executive review
  • Track project milestones, timelines, and initiatives led by or involving the General Manager
  • Capitol Planning coordination with Executive Operations Manager
  • Budget and Labor reporting
  • Provide administrative support to the Director of Food and Beverage to include internal and external correspondence, as well as assistance with presentations and project management
  • Assist with bi-weekly payroll processing for Food and Beverage department
  • Interpret service scores and analytics to curate initiatives that drive improvement
  • Develop and maintain internal dashboards and tracking tools using advanced Excel functions (pivot tables, VLOOKUPs, charts, formulas)
  • Assist with presentations and ownership reporting that reflect hotel performance, strategic initiatives, and guest satisfaction trends
  • Support financial and operational audits and ensure data accuracy across reporting channels
  • Respond to select guest inquiries or requests on behalf of the GM, particularly for VIP guests or sensitive situations
  • Support internal communications that help reinforce the hotel’s values, goals, and culture
  • Represent the GM’s office with clarity, warmth, and professionalism at all times
  • Walk VIP Rooms and draft welcome letter notes
  • Manage cross-functional projects and timelines in partnership with department heads and corporate teams
  • Maintain reporting schedules, leadership meeting notes, and task tracking for key initiatives
  • Contribute to property-level planning and communication strategies, including owner visits, brand audits, and leadership reviews
