Job Requirements

6+ years of experience in event management hospitality operations or meeting planning
Proven experience leading multi-day corporate events and high-touch client retreats
Strong budget management and vendor negotiation skills with experience managing six- to seven-figure event budgets
Experience leveraging AI tools to streamline event planning communications or operations
Exceptional organizational and project management abilities
Clear professional communicator written and verbal
Calm solution-oriented and able to manage multiple priorities simultaneously
High level of discretion and professionalism handling client information
Willingness and ability to travel domestically and internationally

Job Qualifications

Experience planning international events including multi-currency budgeting and cross-border vendor management

Job Duties

Lead planning and full execution for all multi-day domestic and international events including retreats workshops masterminds and internal team gatherings
Collaborate with the Brand & Creative Director on event vision branding and customized gifting experiences
Own venue selection and negotiation experience design run of show and event swag approvals
Serve as lead on-site for all events managing guest logistics including catering accommodations transportation A/V and printed materials
Coordinate registration welcome packets gifting boxes and on-site materials
Troubleshoot in real time ensuring client satisfaction throughout
Own all attendee event communication content partnering with the Client Success Team on formatting scheduling and distribution
Serve as primary point of contact for all event-related vendor and internal communications
Provide weekly updates to leadership on events and culture initiatives
Plan event budgets alongside the Accounting Manager including multi-currency considerations
Source negotiate and manage vendor relationships domestically and internationally
Review contracts collect proposals and quotes and manage expense submissions and invoice reconciliation
Manage all gifting programs end-to-end in partnership with the Brand & Creative Director including new client gifts VIP day gifts workbooks event materials challenge gifts company merch and team gifts
Oversee shipping logistics track deliveries maintain inventory and manage restocking
