This opportunity is a Non-Employee Contingent Worker (CW) role providing specialized services for TIAA's family of companies. Job Requirements

  • University degree preferred
  • Minimum 3 years of event management experience
  • Ability to work onsite in a hybrid capacity
  • Proficient in vendor negotiations
  • Strong organizational and multitasking skills
  • Sedentary work capability
  • Willingness to travel as required
  • Ability to manage budgets and invoices
  • Must comply with drug-free and smoke-free workplace policies

Job Qualifications

  • University degree preferred
  • 3+ years of related experience required
  • 5+ years of related experience preferred
  • Strong vendor management skills
  • Proficient in event planning and coordination
  • Ability to work independently under limited supervision
  • Excellent communication and interpersonal skills
  • Experience managing multi-location events
  • Knowledge of event registration platforms such as CVENT

Job Duties

  • Plan events by identifying and negotiating price for event space, determining event agendas, coordinating event marketing
  • Evaluate advertising and promotion programs for compatibility with public relations efforts and develop reports for senior management
  • Observe social, economic, and political trends that might affect the organization and make recommendations to enhance the organization's image
  • Work with advertising agencies to create a variety of publicity methods
  • Obtain relevant information from clients such as product and organizational details, budget and marketing goals
  • Set up exhibition space and display promotional materials such as brochures, product samples/demonstrations, coupons, branded merchandise
  • Review program budgets and measure lead generation resulting from events
  • Coordinate event catering, entertainment and company speakers/representation at booths and demonstrations
  • Manage planning and logistical execution of internal corporate events, including onsite/offsite meetings, Leadership Team meetings
  • Manage planning and execution of large-scale, multi-day enterprise-wide events involving multi-location programming
  • Partner with event sourcing to source venues and negotiate contracts and collaborate with CVENT representatives to manage event registration websites and mobile apps
  • Manage vendor and internal relationships to coordinate audiovisual, Zoom webinars, event décor, food and beverage, swag, entertainment, keynote speakers, security, photography, and transportation
  • Oversee event budgets including tracking and invoice management
  • Lead strategic event planning and provide creative recommendations to enhance event impact and business outcomes
