Job Requirements
- Bachelor's degree in hospitality, business, facility management or related field
- Minimum 3 years experience in hospitality industry and/or customer service
- Minimum 3 years experience in event planning, meeting planning, or production
- Ability to work independently with minimal supervision
- Ability to multi-task effectively and efficiently
- Ability and willingness to work extended hours and varying work schedules including evenings, weekends and holidays
- Strong computer skills including proficiency in Microsoft Word, Excel, and PowerPoint
- Physical ability to walk and/or stand up to 8-10 hours daily
- Must portray an appropriate professional image and attitude
Job Qualifications
- Bachelor's degree in hospitality, business, facility management or related field
- Minimum 3 years hospitality and/or customer service experience
- Minimum 3 years event planning, meeting planning, or production experience
- Certified Meeting Planner (CMP) preferred
- Exceptional interpersonal, organizational, communication, and presentation skills
- Excellent negotiation skills
- Excellent business judgment and ability to make timely decisions
- Strong planning, organizing, and prioritizing skills
- Self-motivated with ability to work independently
- Ability to learn and use Ungerboeck Event Management software (EBMS) after training
- Problem-solving skills with accuracy and skill
- Energetic, forward-thinking, and ethical professional
- Strong computer literacy
- Ability and willingness to work extended hours and irregular schedules as required
Job Duties
- Assist with supervision of Event Managers and Event Coordinators
- Meet with customers to plan and organize assigned meetings and/or events
- Coordinate activities with various service contractors for assigned meetings and/or events
- Assign events to event management team in absence of Director of Event Management
- Provide exceptional customer service, hospitality, and prompt attention to customer needs
- Provide timely and accurate information necessary to produce the event
- Manage multiple events and phases of event production
- Act as key contact with the customer from planning to event execution
- Implement facility rules, regulations, policies, and procedures
- Anticipate problems and propose appropriate solutions
- Review and approve all event requirements prior to distribution
- Guide customers in event preparation by interpreting contract provisions and policies
- Inform customers of status of deadline schedules including floor plans and insurance requirements
- Communicate detailed requirements promptly and clearly to operational departments
- Assist in scheduling operational setups
- Monitor and supervise facility setup as required
- Assist in training event services staff
- Serve as primary or secondary liaison between customers and facility departments
- Monitor in-house events maintaining close contact with customers and staff
- Attend planning, organization, and event meetings in support of facility operations
- Support the secondary event manager program
- Be accessible 24 hours a day for emergency situations impacting assigned events
- Collaborate with contractors, Pennsylvania Convention Visitors Bureau, and internal partners
- Manage event decisions based on PCC and ASM Global policies
- Maintain awareness to prevent accidents, especially on exhibit floors
- Ensure availability of contracted PCC/ASM Global equipment
- Serve as manager on duty as required
- Work extended and irregular hours including nights, weekends, and holidays
- Promote ASM Global goals and brand promise
- Participate in safety programs
- Assist with various projects and special assignments
- Cover shifts and interact with exhibitors and perform administrative event duties
- Perform other duties as assigned by Director of Event Management and Business Analysis
