Job Requirements

  • Bachelor’s degree or combination of education and/or experience may substitute for minimum education
  • Relevant experience of 2 years required
  • Must be available for work outside normal business hours on nights and weekends as assigned for event support
  • Ability to work in a normal office environment
  • Ability to occasionally work at on- and off-campus events
  • Strong organizational and multitasking skills
  • Excellent communication skills

Job Qualifications

  • Bachelor’s degree or combination of education and/or experience
  • Relevant experience of 2 years
  • Desire and ambition to work in an evolving organization
  • Ability to listen carefully and learn quickly
  • Experience in a large and complex organization preferably as an executive assistant for 8 years
  • Experience in higher education preferably in a complex university environment for 4 years
  • Skills in complex data analysis, confidentiality, database management, data organization, deadline management, detail-oriented event management, event planning, material preparation, meeting organization, Microsoft Office, multitasking, office management, oral and written communication, professional ethics, etiquette, integrity, project administration and management, scheduling, supervision, and time management

Job Duties

  • Serve as coordinator for the planning and implementation of the Special Events team efforts including managing several complex VIP projects
  • Provide high-level support to the Associate Vice Chancellor for Special Events and University Ceremonies including calendar management
  • Manage travel planning and expense reimbursement process
  • Serve as communication link to and from the office when the AVC is traveling
  • Provide onsite event logistical support for designated events
  • Prepare event preparatory documents for AVC and university leadership including briefing materials
  • Create a tracking system to track distribution of briefing materials
  • Perform other duties as assigned
