Job Requirements

  • High School Diploma or GED required
  • 3-5 years relevant experience preferably in a professional services environment
  • proficient with Microsoft Word, Excel, PowerPoint, Adobe, and Outlook

Job Duties

  • Coordinate departmental travel including airline reservations, online check-ins, hotel reservations, and car arrangements using Reed & Mackay portal
  • coordinate purchasing, expense, and invoice procedures in Chrome River
  • process monthly corporate VISA statements for assigned managers
  • schedule and coordinate meetings including Outlook calendaring, EMS, and video-conferencing
  • create, edit, proofread, and maintain documents using Excel, Word, Adobe, and PowerPoint
  • screen and answer incoming internal and external questions and calls
  • demonstrate effective teamwork and communication with team members and all Firm personnel
  • maintain confidentiality and operate office equipment including PCs, printers, phones, copiers, and facsimiles
  • perform as Team Coordinator for the Administrative Support Team to coordinate workflow
  • maintain Legal Administrative Assistant alpha and ratio assignment lists
  • maintain weekly reports for Legal Support Teams and Resource Center project logs
  • coordinate changes to departmental HuB information
  • manage special projects including staff events and timecard system
  • review and update timecards and attendance tracking under supervision
  • assist with FMLA administrative needs
  • train Team Coordinators and staff on timecard program
  • prepare meeting minutes and follow up on topics
  • review and process PTO requests
  • assist with backup coverage coordination
  • coordinate evaluation process and manage scheduling
  • organize renewal process for professional memberships and notaries
  • assist managers with budgeting and monitoring
  • coordinate wellness subsidy program and wellness travel subsidy
  • run wellness-related reporting
  • support FMLA administrative needs
  • coordinate vendors for wellness events and special programs
  • assist with confidential filing, photocopying, and faxing
  • handle Wellness team communications and correspondences
  • support Wellness team retreat planning and logistics
  • monitor Wellness team mailbox and respond accordingly
