Job Requirements

  • High school diploma or equivalent
  • experience in administrative or secretarial roles
  • strong customer service skills
  • ability to handle multiple phone lines
  • excellent communication skills
  • ability to manage and distribute mail and office supplies
  • ability to work with video monitoring systems
  • reliable attendance
  • ability to pass a criminal background check including convictions, guilty pleas, or no contest pleas to violent offenses, theft offenses, and offenses against children

  • ability to prepare and maintain meeting materials

  • basic knowledge of office technology and video surveillance systems

Job Duties

  • Provide good customer service to both internal and external customers
  • maintain positive and effective working relationships with other City employees especially members of their own team
  • have regular and reliable attendance that is non-disruptive
  • serve as the initial point of contact for the Mayor's Office
  • provide information and assistance to the public
  • answer multiple phone lines and evaluate inquiries
  • address questions, complaints, or concerns or direct them to the appropriate person or department for resolution
  • receive, date stamp and distribute incoming mail daily
  • assist in the preparation and distribution of City Council Meeting packets in both digital and print
  • monitor city hall via video cameras from the Mayor's Office and assist people as needed
  • assist the Mayor's Office in coordinating special events for city hall meetings
  • monitor and manage office and hospitality supplies daily to ensure they are fully stocked and available
  • perform other duties as required or assigned
