Job Requirements
- A high school diploma or its equivalent
- experience using Microsoft programs to perform routine clerical and administrative duties
- experience in clerical and secretarial tasks
- ability to write professionally using proper spelling, grammar, and punctuation
- effective verbal and written communication skills
- ability to manage time and prioritize workload
- ability to operate basic computer software packages and office equipment
- ability to maintain confidentiality and provide excellent customer service
- flexibility with work schedule
- willingness to undergo background checks and drug screening
- valid driver’s license
Job Qualifications
- A high school diploma or its equivalent
- two years of secretarial or clerical work experience preferred
- college education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required experience
- experience using Microsoft programs to perform routine clerical and administrative duties
- experience in performing fiscal, personnel, purchasing, reporting, and other major office functions
- experience providing support to a work unit or group
- a valid driver’s license
Job Duties
- Schedules appointments and makes all travel arrangements for the Juvenile Probation Officer Supervisor and staff
- answers all incoming calls, accurately takes and distributes messages, provides assistance to staff, clients, and visitors
- greets all guests in a polite and courteous manner and directs them to appropriate staff, programs, or resources
- maintains accurate inventory of supplies for the unit, ensures proper functioning of all office equipment, and makes arrangements for service calls when necessary
- tracks usage of postage meter and ensures adequate postage on hand for the circuit
- receives and reviews all incoming mail and correspondences, prepares responses as necessary, forwards pertinent correspondence to staff, maintains correspondence files, sorts, stamps, and directs outgoing mail
- types correspondence, reports, records, orders, and other office documents from rough drafts, notes, and oral instructions and submits in a timely manner
- proofreads all typed assignments and correspondence ensuring freedom from spelling, grammatical, or visible errors prior to final approval
- attends all staff and departmental trainings and meetings as required, completing a minimum of 24 hours of training annually
- operates various general office equipment such as copy machine, typewriter, personal computer terminal, fax machine
- provides customer service to internal and external customers
- performs other related duties as required
- uses Microsoft programs to perform routine clerical and administrative duties
