Job Requirements

  • High school diploma or equivalent
  • One or more years of experience in similar positions
  • Excellent interpersonal skills including oral and written communication
  • Proficiency in Microsoft Office software
  • Ability to type 40 wpm
  • Experience with electronic filing systems
  • Strong organizational and problem-solving skills
  • Familiarity with numerical and alphabetical filing
  • Ability to collaborate with diverse populations
  • Bilingual in Spanish
  • Valid California driver license and insurance
  • Reliable commute or relocation to Torrance, CA

Job Qualifications

  • High school diploma or equivalent
  • One or more years of experience in similar positions or demonstrated computer proficiency
  • Excellent interpersonal skills with effective oral and written communication
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to type at least 40 words per minute
  • Experience working with electronic file structures
  • Strong organizational skills
  • Critical thinking and problem-solving abilities
  • Knowledge of numerical and alphabetical filing procedures
  • Ability to work effectively with diverse cultures and backgrounds
  • Bilingual in Spanish required
  • Valid California driver license with acceptable driving record

Job Duties

  • Answer and make telephone calls to clients, service providers, service coordinators, and others
  • Respond to questions, concerns or complaints
  • Provide authorized information
  • Transfer calls appropriately
  • Make and change appointments
  • Assess emergency situations and refer as needed
  • Receive and process incoming mail and faxes
  • Utilize Laserfiche and input data into various platforms
  • Prepare, process, copy and fax documents
  • Perform accurate data entry
  • Maintain and distribute department schedules
  • Coordinate team meetings and trainings
  • Schedule conference rooms
  • Notify participants
  • Prepare agendas
  • Take and distribute minutes
  • Arrange refreshments and materials
  • Perform general clerical duties including ordering supplies, copying, filing, responding to emails
  • Participate in and coordinate team activities and agency events
  • Maintain client confidentiality in compliance with HIPAA
  • Assume responsibility for assigned projects
  • Perform receptionist duties as needed
  • Support other team assistants
  • Perform related duties as required
