Job Requirements

Job Qualifications

  • Minimum two years experience managing events of varying size, budget, and scope
  • Experience producing live events and managing high-touch constituent needs
  • Experience liaising with diverse and urgent stakeholders
  • Background working in nonprofit professional environments
  • Experience managing event and production staff and venue relations
  • Knowledge of food, beverage logistics, and permitting
  • Familiarity with creating accessible events preferred
  • Experience with film festivals considered a plus
  • Strong energy, efficiency, and cooperative spirit
  • Friendly and welcoming demeanor with diverse groups
  • Proactive, communicative, and able to work independently
  • Ability to multitask, prioritize, and handle last-minute requests
  • Comfortable with physical labor involved in event load-ins and load-outs
  • Familiarity with Google Drive, FileMaker, Eventbrite, and Basecamp preferred
  • Knowledge of Bay Area venues and performers a plus

Job Duties

  • Lead producing and project managing all SFFILM fall season parties and receptions, bringing events from conception to execution within budget
  • Execute the Doc Stories Lounge including managing relationships with venue and vendors
  • Support the execution of private meals by researching and confirming restaurants and menu planning
  • Project manage cross-departmental workflows on all event-related tasks including facilitating conversations and reconciling priorities for different groups
  • Provide timely and clear information to staff on event statuses and share runs of show
  • Manage booking venues, entertainment, catering, bar service, and event logistics including permits, contracts, and certificates of insurance
  • Manage Special Events budget and track all payments and expenses
  • Support invitation process with Development and Communications teams including copy contribution and RSVP management
  • Manage vendor and venue relationships including rentals
  • Act as a key player in producing the SFFILM Awards Night including project management, supervising staff, and acting as production assistant
  • Support SFFILM Festival planning including venue research and inventory organization
  • Coordinate with Development team on sponsor obligations and in-kind partnerships
  • Collaborate with Tech and Operations Manager on technical aspects of event production
  • Plan and execute load-ins and load-outs with Director of Operations and Production Manager
  • Create safe events adhering to COVID-19 safety protocols
  • Prioritize and communicate accessibility at all events
  • Prepare for the 2026 SFFILM Festival as needed
  • Support other Operations projects as assigned
  • Create written wrap-reports and timeline summaries
