Job Requirements

  • Associate’s degree or equivalent combination of education and experience
  • High school diploma or GED
  • One to three years of experience in freight forwarding preferred
  • Completion of industry-related courses recommended
  • Strong organizational and time management skills
  • Customer-focused mindset
  • Ability to work under pressure and adapt to changing environments
  • Proficiency in Microsoft Office
  • Proficient communication skills in English
  • Basic knowledge of shipping documentation and Incoterms preferred
  • Ability to perform calculations related to freight rates

Job Qualifications

  • Associate’s degree or equivalent combination of education and work experience
  • High School Diploma or GED
  • One to three years of freight forwarding industry experience preferred
  • Completion of industry-related courses is an asset

  • Proficient in Microsoft Office Suite including Word, Excel, PowerPoint, Email, and Internet

  • Ability to calculate freight rates, discounts, and percentages

Job Duties

  • Responsible for all shipment-level communication between Hellmann and all customers, carriers, and vendors
  • Process shipments in compliance with company standard operating procedures and regulatory requirements
  • Perform credit checks prior to arranging transportation
  • Place and process customer booking requests according to service level agreements and routing guides
  • Proactively schedule bookings to ensure adequate truck and vessel capacity
  • Dispatch Hellmann arranged pickups or communicate information for non-Hellmann pickups
  • Submit insurance purchase requests upon request
  • Secure and validate all required commercial and regulatory documentation
  • Ensure all addresses and contacts are entered and checked for Denied Party Screening
  • Send shipping instructions to carriers prior to cut-off
  • Verify and confirm additional charges such as driver waiting time, demurrage, and detention
  • Enter and update all required milestone tracking events
  • Create Master Agent Settlement and Profit Share Invoices
  • Archive documentation and audit files for accuracy and completeness
  • Communicate additional charges promptly to prevent disputed invoices
  • Transfer shipments to destination office timely and handle communication with destination
  • Escalate recurring carrier or vendor service issues to supervisor
  • Consult with supervisor before agreeing to non-standard services or pricing
  • Develop and maintain Customer Standard Operating Procedures with Account Management and Sales
  • Identify and escalate client trends like volume changes
  • Maintain service relations with customers, carriers, and vendors
  • Monitor customer profitability and escalate to product and sales management as needed
  • Perform other duties as assigned
