Job Requirements
- High school diploma or equivalent
- Sales and Marketing experience preferred
- Prior administrative role experience preferred
- Ability to provide and maintain a valid driver's license
- Must be able to sit for up to 8 hours per day
- Ability to lift up to 45 pounds
- Good communication and organizational skills
- Intermediate computer proficiency
- Ability to travel occasionally
- Maintain neat and well-groomed appearance
- Regular attendance and punctuality
- Adherence to company safety and operational policies
Job Qualifications
- High school diploma or equivalent required
- Bachelor’s degree preferred
- Sales and Marketing experience preferred
- Prior administrative experience preferred
- Excellent verbal, written, and electronic communication skills
- Intermediate computer skills including MS Office proficiency
- Ability to effectively deal with internal and external customers with tact and diplomacy
- Knowledge of Windows OS, PMS, PBX, Key system, and POS
- Detail oriented with outstanding organizational skills
- Good leadership and customer relations skills
- Basic computational ability
- Ability to analyze and foresee user needs
- Self-driven and able to work independently
- Ability to travel occasionally
Job Duties
- Assist the Director of Sales and Marketing and Sales Manager(s) in promoting hotel concepts to group, corporate, and leisure prospects
- Provide administrative and clerical support to the Sales Department
- Handle all incoming and outgoing correspondence
- Maintain organized filing systems for department records
- Arrange appointments and meetings for sales managers
- Prepare meeting packets and sales and marketing materials
- Keep inventory of office supplies and place orders as needed
- Provide client support including processing leads and responding to client requests
- Follow up on outstanding client responses through calls, fax, and email
- Handle logistics for small group meetings for key clients
- Generate reports and compile statistical information as requested
- Produce and submit purchase orders following hotel procedures
- Assist with banquet event orders (BEOs), group resumes, and room blocks
- Notify clients of key dates such as cut-off or payment deadlines
- Drive product quality and ensure a unique guest experience
- Maintain a welcoming attitude focused on positive staff and guest interactions
- Develop and maintain strong interdepartmental communication
- Perform other duties as assigned by supervisors
- Assist with guest inquiries
- Follow company safety and security policies
- Report maintenance problems and safety concerns
- Perform other reasonable job duties as requested
