Job Qualifications
- B.A./B.S. degree preferred
- minimum one year industry-related experience preferred
- excellent oral and written communication skills
- strong organizational abilities
- proficiency in Microsoft Excel and Word
- experience in customer service or sales support preferred
- ability to manage multiple tasks simultaneously
- knowledge of booking and event management systems a plus
Job Duties
- manage sales and marketing functions to maximize effectiveness and achieve business goals with emphasis on local business market
- maintain booking system for the facility
- provide assistance and support to Director of Sales and Marketing
- maintain sales collateral inventory and advise Director when additional materials are needed
- compose and type routine correspondence
- organize and maintain file system including correspondence and records
- arrange and coordinate travel schedules, reservations, and expense reports
- conduct research and compile statistical reports including monthly facility reports
- coordinate and arrange executive staff and other meetings including agenda preparation and recording minutes
- act as liaison between vendors, clients, and guests as required
- maintain and update in-house insurance database ensuring event contract accuracy
- make copies of correspondence and printed materials
- manage information input into facility booking system including revising and updating booking data
- track contracts, rental deposits, insurance payments, certificates, and reports
- maintain Event Tracking Spreadsheet
- provide regular updates to sales team on contracts and deposits
- liaise with ASM's Corporate MIS Department regarding booking procedures
- assist Sales and Marketing department by handling booking requests from prospective clients
- create and maintain event files for active and canceled events
- handle telephone inquiries professionally
- follow up with client requests
- manage all administrative activities related to sales efforts
- create contracts and manage booking system holds for Director
- design and print in-house event signage
- manage file cabinets and archive old files
- attend Sales, Marketing, and Events meetings as required
- provide backup receptionist support as needed
- perform additional duties assigned by Director
