Job Requirements
- Bachelor's degree preferred
- Minimum one year industry-related experience preferred
- Excellent interpersonal and communication skills
- Strong organizational and time management skills
- Ability to work in a fast-paced environment and handle multiple tasks

- Ability to learn and adapt to computer software
- Proficiency in Excel and Microsoft Word
- Ability to maintain professionalism with clients and staff
- Physical ability to stand for long periods, move extensively, and occasionally lift up to 15 pounds
- Availability to work nights and weekends as required by events
Job Qualifications

Job Duties
- Manages sales and marketing functions to maximize effectiveness and achieve business goals with emphasis on the local business market
- Maintains booking system for the facility
- Provides assistance and support to Director of Sales and Marketing
- Maintains sales collateral inventory and advises Director when materials are needed
- Composes and types routine correspondence
- Organizes and maintains file system and files correspondence and other records
- Arranges and coordinates travel schedules, reservations, and expense reports
- Conducts research and compiles statistical reports including monthly facility reports
- Coordinates and arranges meetings for executive staff and prepares agendas, reserves meeting locations, and records meeting minutes
- Acts as liaison between vendors, clients, and guests as required
- Maintains and updates insurance database ensuring accuracy of event contracts and insurance ratings
- Makes copies of correspondence or other printed materials
- Manages booking system data, revising and updating booking information for optimized facility utilization
- Tracks contracts, rental deposits, insurance payments, certificates, and reports
- Responsible for the Event Tracking Spreadsheet
- Provides updates on outstanding contracts, deposits, and insurance certificates to Director and sales personnel
- Serves as liaison with ASM’s Corporate MIS Department regarding booking system procedures or issues
- Takes booking requests from prospective clients via telephone or in person and distributes information appropriately
- Creates and maintains active and canceled event files
- Handles telephone inquiries professionally
- Follows up with clients’ requests for information
- Manages administrative activities related to sales efforts including updating booking information, maintaining customer databases, creating and distributing event masters, and running reports
- Creates contracts, prints calendars, and places holds in booking system for Director
- Designs and prints in-house event signage
- Manages file cabinets by archiving old files
- Attends Sales and Marketing meetings as required
- Performs all duties assigned by Director of Sales and Marketing
- Provides backup support for Receptionist coverage
- Performs additional duties as assigned.
