Job Requirements

  • High school diploma or equivalent
  • minimum one year of clerical or administrative office experience
  • proficient in Microsoft Office Suite
  • ability to communicate effectively in English both verbally and in writing
  • customer service experience
  • ability to remain calm in emergency situations
  • maintain confidentiality
  • able to handle multiple tasks and work independently
  • flexibility to work in a community setting and assist with events
  • tact and professionalism in dealing with residents, families, staff, and public
  • dependable, motivated, and self-directed
  • knowledge of senior living or healthcare industry preferred
  • experience with CRM software desirable

Job Qualifications

  • High school education
  • college or business education preferred
  • minimum of one-year related office experience providing clerical or administrative support
  • experience in a highly visible office with public interaction
  • sales, marketing, or healthcare related experience preferred
  • knowledge of senior care or senior living lifestyle preferred
  • proficiency in Microsoft Office Suite
  • experience with CRM software a plus
  • excellent written and verbal communication skills in English
  • good organizational skills
  • ability to work independently with limited supervision
  • tactful and professional public interaction skills
  • motivated, dependable, flexible, and willing to take initiative

Job Duties

  • Greet all individuals who contact or visit the sales office and provide appropriate information or refer to sales director or staff
  • respond to information requests by sending letters and brochures, enter inquiry data into CRM software and redirect as needed
  • answer incoming calls, direct calls appropriately, record messages and contact data, and provide requested information
  • respond to inquiries from the organization's website and proxy email by mailing information or redirecting to sales director or staff
  • assist or conduct tours of residential and assisted living areas as directed
  • coordinate marketing special events including sending invitations, verifying attendance, scheduling units for tours, and preparing event materials
  • prepare orientation packets, move-in information, phone directories, and name plates for new residents
  • schedule resident host or hostess
  • prepare and deliver welcome gifts and area information to new residents' apartments
  • provide administrative support including preparing correspondences, reports, memos, tracking apartment extras, and supporting occupancy and admission processes
  • maintain a professional and organized office environment
  • manage department storage areas and inventory of supplies, order office and promotional materials as needed
  • utilize resident volunteers or concierge to prepare brochures and applications for distribution
